Reich&Petch is an award winning design and architecture firm. We specialize in cultural projects including cultural buildings, museum exhibition design and retail design.

As an Executive Assistant you will assist the Principals by providing administrative support and coordinate office needs. As an integral member of the team, you will also work with other office staff to ensure deadlines are met, tasks are on track, and the overall objectives of the Senior Management Team are achieved.

This is an in person 5 days a week full time posiition. A hybrid remote work option will not be considered for this role.

Roles & Responsibilities
- Provide administrative support: managing calendars; arranging meetings, appointments, conferences, and events
- Proactively create and maintain effective workflow and communications to accomplish the work of the Principals which includes handling a variety of projects and tasks simultaneously
- Coordinate itineraries and travel for the leadership team and offsite meetings
- Preparation of letters, contracts, reports, correspondence, meeting minutes, and presentations
- Maintain confidential records, current files, and company forms for office use
- Act as the liaison between senior Principals and all staff members while demonstrating tact and professionalism
- General office filing when assigned
- Be the 'goto' person for staff and coordinate with others to resolve office related issues
- General office support duties including ordering of supplies and support of office systems
- Maintain an organized and orderly office
- Performs duties as assigned to support divisional/departmental functions
- welcome visitors, receive and send packages, and handle the mail
- Assist with bank drop offs
- Coordinate with IT administrator to support office staff with IT issues

**Qualifications**:

- Successfully completed an Administration Diploma or equivalent combination of education and experience
- Minimum three to five years related experience in a senior administrative role
- Proficiency with Microsoft Office (Word, Excel, Outlook) Microsoft 365 programs, Zoom and Teams
- Extremely organized
- Strong analytic skills to summarize reports, review and prepare documents
- Proven ability to work independently and as part of a team
- Capacity to effectively prioritize work flow
- Ability to multi‐task and meet multiple and/or unexpected deadlines in a demanding environment
- Excellent communication skills both oral and written
- Professional manner and positive attitude
