We are seeking a dynamic and highly engaged **Office** Assistant** This pivotal role will have you reporting directly to our esteemed Executive Assistant. As our Office Assistant, you'll be the driving force, brimming with self-motivation, with a penchant for creative solutions, and the utmost discretion.
In this exciting position, your responsibilities will span a wide spectrum, keeping each day vibrant and fast-paced. You'll be orchestrating seamless travel arrangements, masterfully managing schedules, handling personal errands with finesse, researching various projects, and tackling miscellaneous office duties with ease. Get ready to infuse your energy and enthusiasm into every facet of this role
**Duties Include**:
- Make travel arrangements for Vitrum, Apex and Lorval employees
- Calendar management for the General Manager of Vitrum
- Submit and reconcile expense reports
- Assist with training events: coordinate preparations of company training documents and presentations including compiling, editing, formatting, binding, and distributing
- Assist with event planning
- Organize meeting rooms and restock meeting room fridges
- Order lunches, dinner, coffee for meetings, team events and for the President, as required
- Reception coverage (lunches and late afternoons)
- Order office supplies
- Copy and scan documents, as required
- Data Entry
- Ensure that requests and messages are handled and directed to the appropriate party
- Process incoming and outgoing mail and deliveries as required
- Maintain and update contact list
- Draft/edit/compose correspondence
- Other duties, as assigned
**Must Have**:
- 3+ years’ experience as an Office Assistant
- Valid Driver’s license with a good standing record with ICBC
- Company vehicle is available for use as required for company business
- Previous experience with making travel arrangements
- Strong research skills
- Excellent professional verbal and written communication skills
