Ana’s Care & Home Support is seeking an experienced and highly organized **Healthcare Office Administrator** to join our team in a **full-time capacity**, with a primary focus on **evening and weekend** shifts. This role is ideal for a healthcare administration professional who is confident working in a fast-paced environment and supporting operations outside of regular business hours.
You will play a key role in ensuring continuity of care by supporting caregivers, employees, clients, and the management team during evenings and weekends.
**Key Responsibilities**
- Act as the primary administrative point of contact during evening and weekend hours for healthcare staff, including scheduling support, care task entries, mileage tracking, and urgent administrative needs.
- Manage and update schedules using healthcare scheduling platforms, ensuring shift coverage and accuracy in documentation.
- Serve as a liaison between families, caregivers, and care managers to support care plans and maintain timely, professional communication.
- Complete data entry and documentation to support payroll, invoicing, and end-of month reporting.
- Maintain accurate and compliant healthcare records, databases, and care documentation in accordance with company policies.
- Collaborate with HR, finance, and operations teams by documenting issues and escalating concerns appropriately.
- Perform general healthcare administrative duties, including filing, document scanning, and record management.
**Qualifications & Experience**
- Minimum 2 years of experience in healthcare administration or a similar healthcare office environment.
- Proficiency in Microsoft Office, particularly Excel.
- Hands-on experience with healthcare scheduling platforms and CRM/ERP systems (strong asset).
- Strong written and verbal communication skills with the ability to communicate clearly with healthcare staff and families.
- Excellent organizational and time-management skills, with the ability to work independently during off-hours.
- High attention to detail and a proactive, solution-oriented approach.
- Understanding of healthcare documentation standards, confidentiality, and professionalism.
**Schedule & Availability**
This is a **full-time position**requiring consistent availability for evening and weekend shifts. Schedules are prepared in advance and balanced across the administrative team to ensure fairness and operational coverage.
