Payroll & Benefits Coordinator

Prepares, calculates and distributes payroll for hourly and/or salaried employees. Prepares appropriate accounting entries for payroll. Maintains benefit records and related documentation. Advises employees on issues relating to benefit coverage and eligibility. On a bi-weekly basis, process payrolls for hourly and salaried employees. Coordinate the accumulation of payroll submissions and submit to ADP. Review the returned payroll for accuracy, issue pay cheques, prepare and record all associated payroll journals. Maintain all associated payroll files and records including archives.
**Skills and Qualifications**
**Education**: Completion of High School with the completion of some post-secondary courses related to Accounting, Payroll or Finance.
**Experience**:3 - 5 years Payroll and Benefits administration experience in a manufacturing environment, with proficiency in **ADP Work Force Now software **and Microsoft Office software
**Duties and Responsibilities**
- Maintain security and confidentiality over Payroll related information at all times.
- Process the payrolls for both hourly and salaried employees. Coordinate the accumulation of payroll submissions and submit to ADP. Review the returned payroll for accuracy, issue pay cheques, prepare and record all associated payroll journals.
- Update Payroll, Time & Attendance, and Work Force Now records by entering changes in exemptions, insurance coverage, GRRSP deductions, Job Title, Shift, department/division transfers, and employment status.
- Ensure vacation pay is properly accrued and paid.
- Resolve payroll discrepancies. Produce or input manual cheques as required.
- Maintain files of employee’s payroll information.
- Remit legislated required payments (e.g. Taxes, EHT, garnishee payments, WSIB, etc.) in a timely manner.
- Supply necessary documentation to government agencies upon request. Prepare annual T4 and T4A forms and reports required by the government including WSIB and Employer Health Tax. Ensure that government legislation is complied with.
- Reconcile General Ledger Payroll account and analyze the payroll accounts.
- Track employee payments on Optional Life Insurance, Voluntary AD&D, and LTD premiums and resolve any discrepancies. Run Age Band report at least annually to ensure appropriate deductions are applied.
- Update and Maintain Hanon Systems reporting requirements (RRSP,DPSP and WSIB)
- Other duties and tasks as assigned.
**Benefits**
- Maintain all benefit records, entering data as required and ensure all necessary documents and changes are made.
- Ensure benefit start dates in WFN coincide with the probationary period ending date as per the offer letter.
- Track employee payments on Optional Life Insurance, Voluntary AD&D, and LTD premiums and resolve any discrepancies.
- Send monthly Sun Life and Canada Life updates and prepare premiums payment by their required due dates.
- Upload GRRSP to Sun Life.
- Process year end and Hanon Profit Sharing Program calculations.
- Administer the financial portion Retirement Benefits Program.
- Adhere to the guidelines as outlined in the Employee Handbook.
- **General Duties**
- Lead and support quality audits.
- Perform any other assignments from time-to-time as management so directs.
- Performs other duties as assigned.
