Tate Engineering is an engineering and project management consulting firm that defines and solves complex issues related to capital projects, energy and resource use, and facility management.
- **We are growing and are seeking an Administrative Assistant to join our team.**_

**About the position**
This is an exciting opportunity where you will play a pivotal role in our company. You are the key to keeping things running smoothly in the office. You will provide support in many areas, including hiring people, managing inventory, and arranging meetings. The support you supply to management requires serious skills. You are well-organized and have a solid understanding of how a company works, as well as experience with customer service and time management. You play an important role in maintaining relationships with employees and co-workers because they are the intermediary between management and the rest of the company.

**Responsibilities include, but are not limited to**:

- Create and adjust schedules, book appointments, and arrange meetings
- Resourcefully manage complex office situations with discretion and confidence
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Assist in onboarding new hires, manage
- Update and maintain business and operational policies and procedures
- Develop and maintain a filing system (paper and electronic) to keep accurate records
- Develop and maintain databases
- Order office supplies and research new deals and suppliers
- Manage vendor accounts and research new deals and suppliers
- Submit and reconcile expense reports
- Liaise with bookkeeper and accountants, generate client invoices, manage accounts payable, process payroll and assist in all month end, quarterly and year-end reporting.
- Maintain contact lists
- Book travel arrangements

Administrative Assistant

**Required Skills**:

- Proven experience as an Administrative Assistant or Office Administrator
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (Office365, Teams, Word, Excel, and MS PowerPoint)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task

**Salary**: $40,000.00-$60,000.00 per year
