**Position Overview**:
This position will be reporting to the President. Key Responsibilities and Qualifications include, but are not limited to the following:
**Key Responsibilities**:

- **Office Coordination (70% of the role)**:

- Oversee day-to-day operations of the Richmond Hill office, ensuring a welcoming and efficient workspace for employees and visitors.
- Coordinate between all Peak offices to ensure seamless operations, including liaising with staff and booking meeting rooms.
- Assist in organizing company events, conferences, and team meetings across locations.
- Collaborate on special projects, assisting with research, reporting, and deadline management as needed.
- **Executive Support (30% of the role)**:

- Serve as the primary point of contact for the President, managing calendars, scheduling meetings, and coordinating travels.
- Act as the face of the President, fostering a professional and welcoming environment for internal and external stakeholders.
- Organize and prepare materials for meetings, including creating agendas, taking meeting minutes, and following up on action items.
- Create polished PowerPoint presentations and other materials for meetings and events.
- Handle confidential information with utmost discretion and professionalism.
- Any other duties as assigned by supervisor.

**Qualifications**:

- At least 5 years of proven experience as an Executive Assistant or in a similar administrative role, preferably supporting executives.
- Strong proficiency in Microsoft Office Suite (Teams, SharePoint, Word, Excel, PowerPoint, Outlook) with demonstrated expertise in creating impactful presentations.
- Exceptional organizational skills, with the ability to prioritize tasks and anticipate business needs.
- Professional demeanor with excellent written and verbal communication skills.
- Highly proactive, with a strong interest in understanding the business and its priorities.
- Comfortable learning new tools, systems, and processes as required.
- Strong team player who can independently manage tasks and projects with mínimal supervision.
- Experience in office management or event coordination is an asset.
- Familiarity with working across multiple offices and remote teams.
