Job Overview:
We are looking for a highly skilled and organized Executive Assistant to provide comprehensive support to the CEO. This role involves managing daily operations, coordinating communication, and handling confidential matters to ensure the CEO can focus on strategic initiatives.

Key Responsibilities:
1. Calendar and Schedule Management:

- Oversee the CEO’s calendar, scheduling meetings, appointments, and travel.
- Prioritize and adjust scheduling to accommodate urgent matters and ensure the CEO is prepared for all engagements.

2. Administrative Support:

- Prepare high-level documents, reports, presentations, and correspondence for the CEO.

3. Meeting and Event Coordination:

- Plan, organize, and manage internal and external meetings, ensuring agendas are set, minutes are recorded, and follow-up actions are taken.
- Coordinate logistics for company events and CEO’s external engagements.

4. Project and Task Management:

- Assist the CEO in monitoring business projects and initiatives, ensuring deadlines and objectives are met.
- Work with various departments to execute the CEO’s directives efficiently.

5. Stakeholder and Relationship Management:

- Act as a liaison between the CEO and internal/external stakeholders, fostering strong relationships with clients, partners, and other executives.
- Maintain communication with government bodies and industry-related organizations when necessary.

6. Travel and Expense Management:

- Arrange detailed travel itineraries and accommodations for the CEO’s domestic and international trips.
- Manage expense reports, ensuring timely processing and accuracy in line with company policies.

7. Confidentiality and Discretion:

- Handle confidential information with the utmost care, safeguarding all sensitive documents and communications.
- Maintain strict confidentiality when dealing with sensitive business decisions and personal matters.

Qualifications:
1. Bachelor’s degree in Business Administration, Management, or a related field.

2. Minimum of 2-3 years experience supporting C-level executives, preferably as an Executive Assistant.

3. Exceptional organizational skills with the ability to multitask and manage shifting priorities.

4. Excellent verbal and written communication skills in English (additional language proficiency is a plus).

5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.

6. Proven ability to handle confidential information with discretion.

7. Experience in the film or entertainment industry is a plus.

Preferred Skills:

- Strong interpersonal skills and the ability to work with multiple stakeholders.
- A proactive approach with the ability to anticipate the needs of the CEO.
- Adaptability and the capacity to thrive in a fast-paced environment.

Additional Information:

- Preference will be given to Canadian citizens and permanent residents, in compliance with government regulations. However, foreign nationals with valid work permits are welcome to apply.

Pay: $40,000.00-$60,000.00 per year
