Based out of our Calgary Plant, we are hiring an Administrative Assistant. The Administrative Assistant is responsible for invoicing related to finished goods customers, in addition to general accounting and administrative duties in support of the WCRL Calgary Division. WHY JOIN OUR TEAM? - Build a stable career at a reputable company with more than 450 employees - Competitive wages - Continuous in-house training opportunities available - Comprehensive compensation package offered to full-time employees including employer-paid extended health benefits - Life insurance - Generous RRSP matching for employee contributions after 1 year - Discretionary annual bonus - Opportunities for career advancement ACCOUNTABILITIES Finished Goods Accounting - Accurate data entry of domestic sales into JD Edwards (“JDE”). - Distribute invoices to appropriate vendors and customers. - Follow up with the appropriate parties for further information to ensure proper invoicing, if required. - Code and voucher vendor invoices for incoming finished goods. - Process other vendor invoices including POs and non-PO requisitions. Sales Administration - Enter export sales for small loads and incoming finished goods into JDE. - Coordinate, prepare and process export documents. - Assist in the delivery and return of container shipments to the Plant. - Update spreadsheets, price sheets and other weekly sales reports. - Arrange the release of delivery slips for crax. - Complete all filing, scanning of sales documents and contracts. - Provide coverage of CP switches (in the absence of the Sales & Marketing Assistant) including the arrangement of rail cars arriving at the Plant and data entry. - Coordinate shipping of finished good samples through FedEx. Administrative & Additional Responsibilities - Answer incoming calls at the Office and forward all incoming calls to the appropriate recipient. - Control petty cash distribution and reconciliation. - Assist with raw material data entry as required. - Assist other WCRL Divisions with finished goods accounting and administration. - May be asked to assist with additional coverage for other administrative staff at the Calgary Division during absences, as required. - Adhere to the company Code of Conduct and all West Coast Reduction Ltd. policies. - Foster a positive team and company culture by ensuring treatment of others is respectful and aligned with company values. - Perform other duties as assigned by Manager or Supervisor. THE IDEAL CANDIDATE - Graduate from a recognized post-secondary program for Administrative Assistants, or equivalent Certificate or Diploma an asset. - 2-3 years of experience in an administrative assistant role or similar environment required. - Demonstrated ability to work independently with mínimal supervision. - Competency using Microsoft Office Suite products and document management systems. - Proficiency in English, both written and verbal, with excellent communication skills. - Highly organized while working in a fast-paced environment. - High attention to detail required.
