Job Summary
Responsibilities
- Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy.
- Oversee administrative tasks such as filing, data entry, and maintaining organized records.
- Supervise administrative staff and coordinate team management activities, including training & development initiatives.
- Handle bookkeeping duties using QuickBooks, including invoicing, expense tracking, and basic payroll processing.
- Assist with human resources functions such as onboarding new employees, maintaining personnel files, and supporting HR policies.
- Manage vendor relationships and procurement processes to ensure timely delivery of supplies and services.
- Support budgeting activities by monitoring expenses and preparing financial reports.
- Ensure effective communication within the office through phone etiquette and clear correspondence.
- Maintain office supplies inventory and oversee office equipment maintenance.
- Support special projects related to office organization or process improvements. Qualifications
- Proven experience in an office administration or clerical role, with strong organizational skills.
- Supervising experience is preferred to oversee administrative staff effectively.
- Proficiency in QuickBooks for bookkeeping and payroll management.
- Experience with front desk operations and multi-line phone systems.
- Knowledge of human resources procedures including onboarding and employee record management.
- Strong communication skills with excellent phone etiquette.
- Demonstrated ability to manage vendor relationships and handle budgeting tasks.
- Office experience combined with proficiency in filing systems and general administrative duties.
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail.
