LINC Intake Coordinator

The Immigrant Education Society (TIES) is a not-for-profit registered charitable organization that has been actively serving newcomers and low-income Calgarians since 1988. TIES' primary goal is to provide immigrants and economically disadvantaged individuals with a solid foothold in Canada and afford them the opportunities to feel belonging in their new community

Purpose
- Reporting to the LINC Program Senior Manager, the LINC Intake Coordinator is responsible for
- overall front office activities and is assisting in processing LINC student intakes, fielding LINC client inquiries, facilitating LINC client referrals and is offering advice and counselling to LINC clients on settlement related issues. The LINC Intake Coordinator also supervises LINC classes and provides various levels of support to both LINC program instructors and clients.

Key Responsibilities
- Follow proper procedures when registering LINC clients, phoning LINC clients, assisting LINC clients with course registration forms
- Promote LINC programs by giving out program related information and attending both career and community fairs with current/potential clients and community partners
- Assist the LINC Program Supervisor in conducting performance evaluations and compiling reports accordingly
- In charge of all aspects of the administrative tasks including but not limited to placing and orienting students into appropriate LINC classes based on their benchmarks; maintaining student records; addressing student concerns and directing them to appropriate resources and scheduling guest speakers
- Collaborate with other LINC Program Coordinators to provide comprehensive support to the instructors and students, chair weekly teachers’ meetings and document meeting minutes and cover classes in emergencies
- Attend meetings both internally and with other organizations; travel to other cities for meetings and workshops when required
- Prepare required reports including monthly report, weekly CLARC wait list, monthly walk-in spread sheet and monthly student information spreadsheet to the LINC Programs Supervisor
- Assist in purchasing, arranging and writing-off for the items under the LINC department
- Coordinating with other SPO-s in terms of waitlist enrollment procedure as per CLARC
- Design and implement library policies; maintain inventory of library resources and assist in acquiring suitable resources
- Maintain basic security by locking all classrooms and computer labs, monitoring the flow of people through reception and parking lot, registering visitors, and watching out for any suspicious activities at reception
- Are expected to work onsite at one of the TIES locations, Forest Lawn, Welcome Centre or Westwinds campus
- Be willing to travel between two locations when required and/or change schedule as per the needs of the program; relocate to another location should the need arises
