**Reports to**: Financial Controller **Job Summary**: The Payroll Coordinator is responsible for managing the end-to-end payroll process for approximately 350 employees across Canada. This role ensures the accurate and timely processing of payroll while addressing employee inquiries, resolving payroll-related issues, and maintaining compliance with provincial labor laws and tax regulations. Working with the Humi payroll platform, the Payroll Coordinator ensures that all aspects of payroll are handled efficiently and consistently for employees across all locations nationwide. All decisions should be made with the following guidelines: **Mission**: Stitch It is dedicated to perfecting fit and style with expert tailoring and personalized services when you need them, backed by our exclusive 30 days fit guarantee - leading alterations and dry-cleaning coast to coast. **Vision**: To be the only international alteration and dry-cleaning provider, ensuring the perfect fit for both individuals and businesses through innovation and skilled professionalism. **Our Values**: Customer First, Professionalism, Integrity, Sustainability, Innovation, Inclusivity and Community. **Payroll Processing**: - Manage the full payroll cycle, including data entry, deductions, overtime calculations, and final approvals for part-time, full-time, hourly, and salaried employees across all company locations. - Process pay adjustments, leaves, terminations, vacation payouts, statutory holiday pay, and other payroll-specific calculations. - Ensure compliance with payroll-related regulations in all provinces where the company operates. **Employee Support**: - Serve as the main point of contact for employee payroll-related questions, including pay discrepancies, tax forms, vacation balances, and other inquiries. - Investigate and resolve payroll issues promptly and effectively, ensuring high employee satisfaction. - Maintain confidentiality when addressing payroll concerns and employee requests. - Manage LTD/worker’s compensation claims or leave of absences due to sickness (communicate with Associates, outside adjudicator and insurance company to ensure early and safe return to work) and manage the return-to-work process in accordance with Stitch It’s return to work process. - Generate associate letters as required (ie. offers of employment, termination letters, etc.) **Compliance and Reporting**: - Stay current with federal and provincial labor laws, tax codes, and reporting requirements to ensure payroll processes remain compliant. - Generate regular payroll reports for Finance, HR, and management, including payroll summaries, vacation liability, and year-end reports. - Assist with T4 and ROE preparation and distribution. - Liaise with government agencies such as Service Canada regarding Records of Employment (ROEs), Canada Revenue Agency (CRA) regarding T4’s, etc. - Prepare monthly and year end reconciliations and remittances for worker’s compensation, EHT, CRA, Revenue Quebec and others as required. **System Management**: - Ensure accurate employee data management within Humi, including salaries, hours, and benefits-related deductions. - Identify opportunities to optimize payroll workflows within the Humi system. - Work collaboratively with the HR area to integrate data from onboarding / offboarding processes into the payroll system. - Liaise with third-party payroll provider as needed regarding biweekly payroll and all payroll related matters. **Documentation and Record-Keeping**: - Maintain payroll records and employee files in compliance with legal and company standards. - Document payroll processes and update procedures as needed. **Qualifications** - University Degree or College Diploma in Human Resources or related field. - Minimum 3-5 years of experience in payroll administration, including performing the entire payroll cycle - Experience with benefits administration - Excellent knowledge of provincial employment standards (BC, AB, MB, SK, ON, QC & NB) - Knowledge of computerized payroll systems (ADP an asset) and the functions associated with this position, such as remittances, ROE’s, etc. - Strong interpersonal skills and ability to problem solve. - Advanced proficiency in Excel (pivot tables, formulas, etc.) and experience generating detailed payroll reports. - Familiarity with year-end reporting, T4, ROE, and tax remittance processes.
