Payroll Administrator

The Payroll Administrator is responsible for completing tasks related to the processing of payroll, ensuring that employees are paid accurately and on-time, and that employment records are accurate.
**KEY RESPONSIBILITIES**
Key responsibilities include the following:
**Payroll Processing**
- Complete and/or assist with full payroll cycle and related tasks for multiple divisions in different provinces
- Collect and follow up on weekly field pack and timesheet submissions
- Enter in timesheets and field packs on a weekly basis including electronic upload and manual entry; this includes “copy and paste”, ensuring all information is accurate and complete
- Review information submitted and follow-up as necessary to ensure payroll is processed accurately and on-timeAssist with maintaining the payroll inbox on a weekly basis
- Provide back-up assistance to other team members for payroll processing and general payroll tasks
**Employment Records**
- Set up employees in QM’s systems, including the ERP and payroll systems (NAV and Clarity); includes entering new hires and updating the systems with any changes
- Coordinate and follow up with others on incomplete or inaccurate new hire paperwork
- Process employee title changes, status changes, transfers, promotions and rate changes in NAV and Clarity
- Compile paperwork for HR projects (benefits, orientations, new projects)
- Track vacation and sick time
- Create and maintain employee files
**Other**
- Assist with payroll year-end duties including T-4’s and summaries as required
- Prepare Record of Employments (ROE’s) on line, ensuring all ROE’s are accurate and submitted within required timelines
- Print/compile reports when requested
- Assist staff in the completion of relevant forms
- Provide support to HR department when required
- Other responsibilities as required
**QUALIFICATIONS, SKILLS AND KEY COMPETENCIES**
**Education**
- A graduate from post
- secondary institution in a related discipline or an equivalent combination training, education and experience
- Payroll Compliance Practioner (PCP) designation is required; consideration will be given if this is in-process, with enhanced payroll processing experience
**Experience & Skills**
- Minimum 2 years’ payroll processing experience with manual time entry, with full life-cycle payroll
- Experience processing hourly, salary, union and non-union payrolls within multiple provinces/territories in Canada
- Experience with in-house payroll system is preferred
- Construction industry or other project-based industry experience is preferred
- Previous experience with payroll systems implementations is an asset
- Previous experience in accounting, book-keeping or computer programming is an asset
- Strong payroll technical competencies
- Strong excel and MS office skills required, including proficiency in vlookups and pivot tables
- Adept at using payroll/HRIS software
- Professional and confidential
- Strong data entry and attention to detail
- Analytical skills
- Exceptional organization and time management skills
- Good English written and spoken communication skills
- Ability to multitask and to be flexible for changing priorities
- Ability to easily learn new software
- Accountable; able to work well independently and within a team
**WORK ENVIRONMENT**
Work is done in an open-concept office. This position works in the office full-time (it is not a hybrid or work-from-home position).
