**Position: Administrator/Finance Assistant**
**Location**: Mississauga, Canada
**Role Overview**:
As our _Administrator/Finance Assistant_, you’ll play a critical role in supporting both our financial operations and procurement activities. From reconciling accounts and handling vendor payments to coordinating purchases and supporting department needs, your contributions will help ensure smooth operations across teams. This role is ideal for someone with an accounting background and CPA knowledge who thrives in a detail-oriented, fast-paced environment.
**Key Responsibilities**:
- Monitor and reconcile company expenses, account balances, and vendor invoices.
- Review, process, and verify invoices for accuracy and compliance with internal policies.
- Schedule and manage timely payments to suppliers and vendors.
- Maintain and reconcile accounts payable ledgers and financial documentation.
- Support monthly and year-end financial closings, audits, and reporting activities.
- Communicate with suppliers to resolve payment discrepancies or delays.
- Evaluate and select suppliers based on cost, quality, service, and reliability.
- Negotiate contract terms, pricing, and delivery timelines with vendors.
- Track inventory levels and coordinate procurement to ensure optimal stock availability.
- Collaborate with R&D, production, and quality teams to align procurement strategies with operational needs.
- Identify and implement improvements to procurement and accounting workflows.
**Qualifications**:
- A degree or diploma in Accounting, Finance, Business Administration, or a related field.
- Minimum of 2-3 years of relevant work experience in accounting, procurement, or supply chain administration.
- Solid understanding of accounting principles; familiarity with CPA standards and financial best practices is strongly preferred.
- Experience with accounting and procurement software (e.g., SAP, QuickBooks, or similar ERP systems).
- Proficiency in Microsoft Excel and financial reporting tools.
- Exceptional attention to detail, organizational, and time-management skills.
- Strong written and verbal communication skills, with the ability to work effectively with vendors and cross-functional teams.
- Prior experience in the pharmaceutical or life sciences industry is an asset.
