**OVERVIEW**
Reporting to the Vice President, Leasing, the Leasing Coordinator is responsible for providing timely and accurate organizational and administrative support to the Leasing team and its clients/tenants as well as overseeing and managing assigned leasing portfolio.
**KEY FUNCTIONS AND RESPONSIBILITIES**
- Draft and prepare lease agreements and various lease-related documents, such as amendments, extensions, consents to sublease, deferrals, parking agreements, surrender, terminations, control letters, and renewal reminders
- Promptly review and follow up on all lease documentation to ensure accuracy and completeness
- Review and monitor leasing inputs in the database system
- Track, update and maintain all leasing documentation and files, both hard and soft copy
- Conduct precedent reviews and updates
- Review and approve database and abstracts
- Prepare for and attend meetings regarding leasing and prepare meeting minutes and follow up on action items
- Stay updated on industry and legal trends and requirements
- Provide administrative support to the VP of Leasing and Leasing Team as required
- Produce and distribute monthly reports to Leasing, Property Management and Accounting departments as required
- Other duties as required
**Leasing**:
- Stay up to date on industry and legal trends and requirements
- Prepare draft Proposals to Lease for retail, office and industrial properties
- Maintain and keep track of a Conditional Deal during due diligence period for SDM, Credit Search, Financials, Owner Approval, Security Deposits, etc. before waiving Landlord’s conditions
- Maintain electronic filing of all conditional deals, signed SDMs, financials, credit reports as well as hard copy filing in the relevant Tenant Leasing folder
- Produce and maintain up-to-date leasing analysis including new leasing statistics and renewals
- Assist and prepare Leasing/Marketing material and presentations
- Update Marketing flyers for all Properties
- When required, update floor plans, as-built drawings, area certificates, etc.
**Lease Documentation Management**:
- **Draft leases, lease extension agreements, lease amending agreements, landlord’s consents to sublease and assignments
- Liaise with tenants and solicitors to complete the negotiation of lease documentation
- Liaise and follow-up with tenants for execution of lease documentation
**REQUIREMENTS (EDUCATION, EXPERIENCE, SKILLS, QUALIFICATIONS)**
- Legal Assistant Diploma or equivalent work experience is preferred
- 5+ years of administration experience, ideally in a leasing support role and/or lease documentation capacity
- Knowledge of real estate industry, leasing and contract terminology, principles and procedures
- Advanced proficiency with MS Office suite
- Experience using DocuSign
- Prior experience with property management software is an asset
- Strong organizational and time-management skills
- Able to prioritize and successfully manage multiple requests simultaneously
- Strong analytical and problem-solving skills
- Strong attention to detail
- Excellent communication skills, both written and verbal

**KEY RELATIONSHIPS**
- Reports to the Vice President, Leasing
- Regularly communicates and works with other internal departments
- Communicates with prospective, new and existing tenants and the brokerage community
**WORKING CONDITIONS**
- Office environment
- Prolonged hours in front of the computer
- Fast paced environment often with competing priorities
- Consistently high workload
- Occasional travel required
