The Role:
The Executive Administrative Assistant to the General Manager (GM) is responsible
for providing comprehensive support and completing tasks such as creating reports,
organizing travel and accommodation, taking minutes, and other organizational
solve and have strong customer service experience.
To succeed in this role, you should be able to anticipate needs, think critically, and
offer solutions to problems with a high level of professionalism and confidentiality.
Key Responsibilities:
Your responsibility is to complete a broad variety of administrative tasks that
facilitate the GM’s ability to effectively lead the organization, which include but are
not limited to:

- Assisting with special projects
- Designing and producing complex documents, reports, and presentations
- Collecting and preparing information for meetings with staff and outside parties
- Composing and preparing correspondence
- Making travel arrangements when needed
- Coordinating team meetings, events and retreats and assisting with staff meetings as needed
- Conducting research and creating reports on various topics based on the needs of the GM
- Keeping important information and documents organized physically and electronically
- Maintaining a high degree of discretion and confidentiality
- Organizing, managing, and prioritizing the project task list to ensure deadlines are met
- Anticipating needs and creating solutions to improve efficiency and effectiveness for the GM
- Preparing documents and taking notes for meetings or calls
- Liaising with internal staff at all levels, on behalf of the GM
- Problem solving and managing client feedback
- Corresponding and providing customer service to clients when needed
- Having a working knowledge of all relevant policies and procedures
- Assisting with creating systems to improve efficiency
- Providing reports and presentations when needed

Ideal Qualifications:

- Previous work experience as an Executive Assistant
- 2+ years of previous work experience an Administrative Assistant
- Excellent written and verbal communication skills
- Effective customer service skills
- Strong interpersonal skills
- Ability to work independently with a high degree of accuracy, sound

judgment, and initiative
- Highly organized with the ability to balance multiple projects or tasks and

meet deadlines
- Excellent analytical and problem-solving skills
- Ability to react with appropriate levels of urgency to situations and events

that require quick response or turnaround
- High degree of professionalism in assisting diverse groups of people
- Strong time management
- Ability to learn quickly and work in a fast-paced environment
- Strong computer skills and proficiency with Google workspace and Microsoft Office Suite including Word, Excel and PowerPoint
- Experience working with Jane
- Able to maintain a high level of integrity and discretion in handling confidential information
- Strong judgment and decision-making skills

**Salary**: $23.00-$26.50 per hour

Schedule:

- 8 hour shift

Supplemental pay types:

- Bonus pay

**Education**:

- Bachelor's Degree (preferred)

**Experience**:

- Administrative: 2 years (preferred)
