Northland Properties' Construction & Design Team is seeking a highly organized and detail-oriented individual to fill the position of Executive Administrative Assistant.

Providing high-level administrative support to the Construction & Designer Vice-President and Senior Leadership team, your key duties will include:

- Manage the executive team's calendars, including scheduling appointments, and coordinating meetings.
- Coordinate travel arrangements for the team and ensure efficient scheduling.
- Invoice support coding, processing construction AP
- Enable remote decision-making, keeping projects on track, including the planning and coordinating of events, (e.g., meetings, conferences, and company gatherings).
- Draft and proofread correspondence, communication memos, and other written materials as required.
- Answer and screen calls, take messages and respond to inquiries when appropriate.
- Maintain and organize files, records, and other documents.
- Update and manage organizational charts.
- Track performance tools and communicate results.
- Process and track expense reports, invoices, and other financial paperwork.
- Liaise with other departments, external partners, and vendors as necessary.
- Perform research and prepare reports as needed.
- Coordinate special projects.
- Provide general administrative support as required.
- Support the growth and development of the company culture and professionally represent Northland Properties.
- Performs other duties as required

What are we looking for?
- Bachelor's degree preferred but not necessary.
- Minimum of 2 years of experience in an administrative or executive support role.
- Proficient in MS Office, especially Microsoft Outlook, OneDrive, SharePoint, Teams, Excel, and Word.
- Ability to maintain confidentiality and discretion with sensitive information.
- Exceptional written and verbal communication skills.
- Ability to prioritize tasks and manage multiple projects simultaneously.
- Professional demeanour and strong interpersonal skills.
- Excellent organizational, time management, and problem-solving skills.
- Detail-oriented, versatile, and flexible.
- Demonstrates a positive attitude, with good initiative and a strong work ethic.
