.- Key Responsibilities
- Acts as a primary contact for intake of all incoming requests for the National DocPro team
- Reviews and assesses each new request for key details including estimate of time commitment, urgency of request, and matter/client specific requirements
- Understands and properly obtains all relevant information required from the requestor in order for the Document Specialists to deliver the expected work product within the time frame expectations
- Logs each individual request into the national workflow management system in a timely manner to drive and support an efficient team workflow
- Monitors the centralized inbox and updates requests with any changing priorities, and keep requestors informed on the progress of their work
- Works closely with the Intake Team Lead, Document Specialist Team Leads and Manager to manage volume, assess coverage needs and determine allocation of resources for the highest-priority requests
- Remains attentive to the team’s fluctuating capacity demands in order to appropriately communicate accurate deadlines with requestors
- Collaborates with Intake Team Lead, Document Specialist Team Leads and Manager to develop workflow processes and leverage technology to optimize the case load management
- Provides all clients with professional and exceptional client service
- Acts as a team player within the DocPro team with overflow, urgent deadlines and back-up coverage
- Assists with DocPro team related projects as assigned
- Keeps up-to-date on changes in practice and procedural requirements

Principales responsabilités
- Agir à titre de personne-ressource principale pour ce qui touche le traitement de toutes les demandes envoyées au Centre DocPro.
- Examiner et évaluer chaque nouvelle demande, estimer le temps qui devra y être consacré et la vitesse à laquelle elle devra être traitée et noter les indications spécifiques du client.
- Obtenir tous les renseignements pertinents des demandeurs et s’assurer de les comprendre afin que les Spécialistes en production de documents répondent à toutes les exigences nécessaires et soient en mesure de produire le travail dans le délai imparti.
- Consigner sans tarder chaque nouvelle demande dans le système national de gestion du travail, de façon à favoriser l’efficacité au sein de l’équipe.
- Surveiller la boîte de messagerie commune de l’équipe et mettre à jour l’ordre des priorités selon les besoins, en plus d’informer les demandeurs informés sur la progression de leurs demandes.
- Travailler en étroite collaboration avec le Responsable d’équipe en traitement des demandes, les Responsables d’équipe en production de documents et le Gestionnaire, Centre DocPro, à gérer le volume de demandes, à évaluer les besoins en matière d’effectifs et à affecter rapidement les mandats urgents.
- Prêter une attention constante à la capacité changeante de l’équipe pour fournir des échéances réalistes aux demandeurs.
- Collaborer avec le Responsable d’équipe en traitement des demandes, les Responsables d’équipe en production de documents et le Gestionnaire, Centre DocPro, afin de mettre au point des processus liés aux flux de travail et de tirer parti des technologies pour en optimiser la gestion.
- Offrir un service professionnel et exceptionnel à tous les clients.
- Fournir une aide dans le cadre des projets du Centre DocPro, au besoin.
- Se tenir au courant des changements aux procédures ou aux pratiques optimales.

Key Competencies
- A minimum of 3 years’ of relevant experience, working within a law firm an asset
- Working knowledge of legal documents terms and litigation procedures, an asset
- Advanced knowledge of MS Office products
- Bilingualism (French and English), spoken and written, an asset
- Excellent organizational and time management skills to effectively prioritize and meet deadlines with mínimal supervision
- Strong interpersonal skills with the ability to work well independently and collaboratively within a team environment
- Excellent communication skills (verbal and written) with the ability to interact with individuals at all levels within the organization
- Ability to adapt and learn new technology
- Ability to work in a high-pressure environment
- Flexibility to occasionally work hours outside of regular work schedule
