Trans Mountain Corporation operates Canada’s only pipeline system transporting oil products to the West Coast. As an Engagement Coordinator, you will be responsible for the coordination of logistics, planning, records maintenance and documentation of Indigenous Consultation and Engagement activities in support of Trans Mountain’s (TM) regulatory consultation and permit engagement across Alberta.
This position will coordinate correspondence and consultation/engagement-related interactions between Indigenous groups and members of the Indigenous Relations Team (IRT) and other TM departments. The Engagement Coordinator drafts accurate timely submissions, including all documents, meeting notes, materials and presentations provided for Indigenous groups.
**Key Responsibilities**
- Provide logístical support to the IR Advisors working with Indigenous communities (assist in venue selection and bookings, travel planning, invitations, including all aspects of trips to sites for Indigenous community members, travel logistics, supply of proper PPE, obtaining consents etc.).
- Attend as necessary, Engagement and Consultation meetings with Advisors on implementation of commercial agreements, regulatory and permitting engagement.
- Provide Engagement follow-up support from meetings, provision of information. requested or related to commitments made, and for regulatory and permitting authorizations.
- Meeting preparation for the team, including minute taking and distribution, agenda preparation, and ordering, setting up and take-down of meeting room equipment and catering.
- Develop and maintain databases and other document structures and record-keeping systems related to the Engagement team’s activities.
- Provide document preparation and distribution support as necessary for planned community engagements.
- Assist in the gathering of information for internal and external reports, letters, and events. Engagement, research activities, formal and informal information requests.
- Assist in development of Engagement/Consultation related presentations.
- Coordinates information gathering to support Advisors and IR Leadership with formal and informal Information Requests.
- Coordinates processing, documentation and tracking of capacity funding to support Consultation.
- Support the timely submission of engagement records to Borealis and prepares. necessary reports when required.
**Qualifications and Professional Experience**
- Completion of a post-secondary education is preferred (certificate, diploma, degree). A combination of education, skills and experience will be considered.
- An understanding of Indigenous Consultation in relation to projects and regarding Indigenous peoples, protocols, and consultation-related practices, would be an asset.
- Resourceful and able to learn quickly and develop systems, procedures and processes resulting in exceptionally organized and executed tasks.
- Ability to prioritize and seek direction when needed. Must be capable and able to work with minimum supervision at times.
- Ability to work collaboratively with others and troubleshoot problems.
- Excellent verbal and written communication skills and an ability to enhance pieces of communication and reports.
- Attention to detail and work in a reliable, time-conscious, and time-effective manner.
- Exhibits a professional, courteous manner at all times and respects the nature of confidential information.
- Exceptional skills with the Microsoft suite of products, SharePoint and Borealis experience would be an asset.
- Motivated and willing to take ownership of IRT deliverables.
