Title: Administrator - FFPS Division

**QUALIFICATIONS**
- 1-2 years' office administration experience
- Excellent verbal and written communications skills
- Intermediate computer skills including Word, Excel, and Outlook
- Experience in Aims would be a bonus
- Strong administration and record keeping skills
- Basic administrative/accounting math skills
- Advanced prioritization and coordination of time-sensitive tasks
- Maintain a professional attitude and positive outlook
- Ability to build trusting relationships with management, co-workers, business partners, and clients
- Strong interpersonal skills (listens well, communicates consistently with the team, confronts issues openly and honestly, able to handle criticism and learn from mistakes)
**Employee Duties**:
**Key Responsibilities**:
Personnel Related:
- Coordinate submission of new hire packages
- Time sheets
- Review time sheets submitted from jobs for completeness and accuracy and submit to payroll for processing
Billing:
- Coordinate and assist with preparation of LEM’s for time and material jobs
- Perform oversight to manually created LEM’s to validate accuracy and completeness
- Follow up on outstanding unsigned LEM’s
- Prepare invoices for time and material jobs
- Reconcile invoices to invoice log
Accounts Receivable
- Confirm that clients have been contacted to validate they have received their invoice
- Work with VP to follow up on outstanding AR
Accounts Payable
- Review and validate invoice coding
- Coordinate submission of approved invoices for payment
- Facilitate generating/obtaining reports required by Operations Manager
HSE:
- Support Daily HSE Requirements
- Managing HSE Stats, if required
Pay: $20.00-$24.00 per hour
Expected hours: 40 per week
