We are looking to add a Logistics Administrator to our team

Position Title: Operations Administrator

Reports to: Administrative Lead

Department: Logistics

Work Location: Leduc, Alberta

Work Duration: 18 month maternity leave coverage

Position Summary

The Logistics Administrator is responsible for ensuring the accuracy and timely completion of operational paperwork, invoicing, and timesheet management to support seamless processes. Additionally, the Logistics Administrator will facilitate effective communication with clients and vendors to enhance service satisfaction and operational efficiency. This position is an 18 month contract maternity leave coverage.

Operations:

- Ensure the completion, accuracy, and timely entry of all necessary paperwork on a daily basis to maintain operational efficiency.
- Accounts Receivable invoicing in SAGE, following established guidelines provided by the Operations team.
- Verify that all timesheets include complete, accurate, and appropriate rates, hours, and descriptions to facilitate seamless processing.
- Ensure the timely completion of project invoicing and timecard entries to support financial reporting and project management.
- Undertake additional general administrative duties as required.

Compliance, Health and Safety Support:

- Exemplify a commitment to safety and environmental stewardship within the workplace, fostering a culture that prioritizes these values.
- Ensure compliance with KBL’s Health and Safety Management System by possessing a thorough understanding of relevant safe work standards, policies, and procedures, thereby promoting a safe working environment for all personnel.

Support Client and Vendor Service:

- Long periods of sitting, data entry, computer work for extended periods. You are responsible to work in a safe and proper manner utilizing Workplace Ergonomics to avoid injury to oneself and to others.

Work Environment:

- Work is primarily carried out indoors, but at times you may be required to go outside. Therefore, there can be exposure to extreme weather in the winter months. There can be exposure to dust, noise, mud, water, smoke, and bacteria.

**Qualifications**:

- High school or GED diploma
- Position requires a high level of initiative and a positive attitude
- Experience using Microsoft products (i.e. Outlook, Word)
- Experience with SAGE accounting system is considered an asset
- Must be able to follow both oral and written instructions
- Excellent communication and staff rapport
- Critical thinking, conflict resolution and problem-solving skills
- Must be able to work well under pressure
