**Job Summary**

**Responsibilities**
- Provide administrative support to executives and team members, including managing schedules and coordinating meetings.
- Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
- Proofread documents for accuracy and clarity before distribution.
- Manage front desk operations, greeting visitors and handling inquiries professionally.
- Provide administrative support to ensure efficient operation of the office
- New customer onboarding shipments
- Order reception and confirmation
- Planning missing products
- Invoicing
- Quotes with suppliers
- Quoting products to customers
- Creating new products in Shopify
- Generating and managing purchase orders in Shopify (PO)
- Recording and programming supplier payments
- Recording and programming customer payments
- Customer service and support
- Managing credits and product returns
- Order cancellations
- Customer-requested products exchanges
- Assist with clerical duties such as filing, organizing documents, and maintaining office supplies.
- Utilize sales system and CRM system.
- Deliver exceptional customer service by addressing client needs and inquiries promptly.
- Maintain confidentiality of sensitive information while adhering to company policies.
- Maintain digital and physical inventory control
- Assist in the preparation of regularly scheduled reports and memos
- Support production, sales and driver team with data entry, document management and internal communications.
- Pricing strategy and Updates
- Tortilla production tracking

**Qualifications**
- Proven experience as an administrative assistant or in a similar clerical role
- Excellent verbal and written communication skills (English and Spanish)
- High level of organization and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Professionalism, discretion, and a proactive attitude
- Adaptability and willingness to learn new software and tools
- Experience using project management or CRM tools or sales system
- Familiarity with basic bookkeeping or invoice processing
- Experience in a small business or startup environment

Strong computer skills: Microsoft Office, Google Workspace, and PDF tools
- Proficient in data entry with strong attention to detail.
- Excellent proofreading skills with the ability to identify errors quickly.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Exceptional customer service skills with a friendly demeanor.
- Ability to work independently as well as collaboratively within a team environment.
- High school diploma or equivalent; additional qualifications as an administrative assistant are a plus.

Pay: $16.75-$25.00 per hour

Expected hours: 30 - 40 per week
