Conference Planner, Logistics

**Description**:
**Role Purpose**
To support the Logistics & Production team in the delivery of Gartner’s must-attend global conference portfolio, for both virtual and in-person programs. Responsible for the development, management and execution of various conference elements relating to logistics and production.
**Primary Responsibilities**
- Support operational delivery of all logistics and production elements across in-person and virtual conferences including project management, virtual event platform management and session recordings, financial management (forecasting, expense management and reconciliation), staff planning and production scheduling
- Manage specific areas of conference budgets to support the conference manager produce accurate monthly forecasts and manage expenses effectively
- Attend conferences as the onsite support for in-person and production lead for virtual delivery including managing the production schedule, temporary staff and liaising with agency partners and vendors
- Liaise with key conference partners and team members (internal and external) to ensure successful conference execution; build and maintain good relationships by establishing trust and a working partnership
- Be a key member of the global Conference operations team - build effective relationships with peers in all regions, take and share best practices and continuously raise the level of our event
- Constantly evaluate the experience, feedback and results then implement changes accordingly. Create detailed post-event analysis reports and event de-briefs for review with manager/operations leads
**Virtual Conferences**
- Plan, organize, and execute the production of virtual sessions from scheduling, recording, quality checks to delivery
- Leading our production partner to successfully deliver all virtual sessions within strict timelines
**In-person Conferences**
- Plan, organize, and execute event logistics with guidance from Conference Manager from initial stages of development, through on-site and conference wrap-up
- Assisting in leading key event partners to the delivery aspects of the events
- Co-ordinate travel & accommodation arrangements for conference teams & vendors
**Expected Results**
- Achieve operational excellence and execute conferences on time, within budget and with great attention to detail
- Build and maintain excellent working relationships, both internally and externally
- New processes implemented that will help to improve operational efficiency of the team

**Education**
- Bachelor’s Degree or higher
**Professional Experience**
- 2+ Years Event Management experience
- Proven event operational skills including production schedules, budget management and event staffing
- Project management experience on detailed programs with multiple variables and dependencies
- Proven experience in managing agency and vendor partners
