Are you a master multitasker with a passion for organizing and creating unforgettable experiences? Our client is seeking a dynamic Administrator/Event Planner to join our team and help deliver exceptional events while managing administrative tasks seamlessly.
**Responsibilities**:
- Plan, coordinate, and execute a wide range of events, including corporate meetings, conferences, workshops, and social gatherings.
- Develop event concepts and themes, considering client objectives and target audience.
- Source and negotiate with vendors, such as venues, caterers, audiovisual providers, and entertainment, to ensure high-quality services within budget.
- Manage event logistics, including venue setup, registration, guest lists, transportation, and accommodation arrangements.
- Create detailed event timelines, schedules, and production plans to ensure smooth execution.
- Collaborate with internal teams and stakeholders to align event objectives, messaging, and branding.
- Assist in developing event budgets and track expenses to ensure cost-effectiveness.
- Coordinate with speakers, presenters, and special guests, ensuring their needs are met and logistics are well-organized.
- Oversee event marketing and promotion, including invitations, registration platforms, and social media campaigns.
- Provide on-site event management, overseeing setup, troubleshooting, and ensuring the event runs smoothly.
- Conduct post-event evaluations and analysis, gathering feedback and making recommendations for future improvements.
**Requirements**:
- Proven experience in event planning and administration, preferably in a corporate or professional setting.
- Exceptional organizational and time management skills, with the ability to handle multiple projects simultaneously.
- Strong attention to detail and problem-solving abilities to ensure flawless event execution.
- Excellent communication and interpersonal skills, with the ability to build relationships with vendors, clients, and stakeholders.
- Proficiency in event management software and tools and social media.
- Knowledge of budgeting and financial management principles.
- Flexibility to work evenings, weekends, and travel as required for events.
- Bachelor's degree in event management, hospitality, or a related field (preferred).
