**K&M overview**: In operation since 1992, K & M provides independent vibration monitoring and pre-blast/pre-construction inspections in the construction, quarrying and mining industries.
**Job Overview**:
In this role, you will be responsible for managing administrative tasks related to scheduling inspections, sending notices, data and file storage, programming seismographs, and preparing invoices.
**Key Responsibilities**:
- **Fielding phone calls** and inquiries related to inspections, scheduling, and homeowner requests.
- **Arranging inspection schedule** by coordinating with inspectors and homeowners.
- **Managing project schedules** ensuring to keep track of homeowners who have/have not responded to our notices.
- **Drafting notices** to homeowners regarding upcoming inspections.
- **Sending registered letters** to homeowners who fail to respond to initial notices.
- **Organizing and archiving video inspections** as they return from the field, ensuring all footage is properly backed up and saved.
- **Combining and sending video inspection files** to homeowners upon request.
- **Printing 300-meter notices** for upcoming projects.
- **Maintaining organized computer archives** of all inspections, reports, and project documentation.
- **Compiling blast reports** and distributing them to designated company contacts in a timely manner.
- **Preparing and sending invoices**to clients for the seismograph monitoring and inspections completed.
**Qualifications**:
- Previous experience in an administrative role.
- Ability to work with limited supervision.
- Experience with file organization and management, including handling video files.
- Excellent verbal and written communication skills.
- Ability to handle multiple priorities and adapt to shifting deadlines.
- Experience working with registered mail processes and document preparation would be considered an asset.

- **Communication Skills**: You will frequently interact with homeowners, inspectors, and other stakeholders, requiring clear and professional communication.
- **Problem Solving**: You will need to handle unexpected scheduling changes, follow-ups with non-responsive homeowners, and manage issues related to documentation.
- **Tech-Savvy**: Proficiency in computer programs, file management systems, and video file handling is essential for success in this role.
As Office Administrator you are an integral part of a team of 14 Seismograph Technicians and Pre-Blast Inspectors. We are responsible for monitoring of any blasting that is done in the province. Office hours are from 7am to 4pm from Monday to Friday. Our office is located at 30 MacDonald Ave in Burnside.
You will receive 2 weeks vacation for the first five years increasing to 3 weeks in your 6th year and 4 weeks in your 11th year. You are eligible to join the company’s current Group Insurance Benefits program, after the policy 3 month waiting period, consisting of medical, dental, life insurance and disability insurance. After 1 year’s permanent employment you will be eligible to participate in the company’s Group Registered Retirement Savings Plan.
Salary upon request.
