RESPONSIBILITIES
- Assist and prepare all transactional paperwork such as CMAs, offers, amendments, agency forms, waivers, etc.
- Assist and prepare all listings paperwork such as Listing Agreements, Working with a Realtor, Schedule B, FINTRAC, etc.
- Organize and maintain electronic files
- Organizing client/agent events; Christmas Parties, Client Appreciation Events, etc.
- Contribute to team effort by accomplishing results when necessary for property presentation related errands or tasks
- General CRM use and data input. Must be a quick learner to understand our technology stack and know how to use them.
- Update our listings inventory sheet when we get new listings.
- Pull Data Reports from CRM and other technology we have to simplify processes and increase agent productivity and system flow. Create presentation for executive meeting with all data reports.
- Update information on prehomes.ca for certain projects (when needed) - Watermark information, update backend of website.
- Social Media Experience, creating content schedule and creating quality content for Prehomes Social Media and The Zadegan Group social media.
- Experience in Real Estate forms and paperwork - listing agreement, buyer representation agreement, agreement of purchase and sale, etc.
- Experience with Google Drive in organizing paperwork for agents and file compliance. Ensuring files are all up to date and all files are completed correctly.
- Experience in Skyslope/transaction management software.

EXPERIENCE
- Past real estate administration experience (2 years minimum)
- Experience in online property portals (TREB, DocuSign, WEBForms, Realtorlink, GEO, MPAC, etc.)
- Expert knowledge of Microsoft Office (Word, Excel, PowerPoint) & GSuite
- Experience in self/project management
- Experience of using a CRM system.
- Experience in data entry, reporting and workflow monitoring platforms.
- Social media experience

- Experience In Hubspot Is A Plus But Not Mandatory

This is a hybrid position. Licensed assistants are welcomed but not mandatory. Experienced Real Estate Executive Assistant for an Agent, Team or Brokerage is mandatory.
