Our team is growing, and we’re looking for an Office Manager to assist with improving our office processes within our construction low rise division. We’re looking for a motivated, organized and dedicated professional who understands the needs of the business, and has strong business acumen. Our Office Manager works strategically, with stakeholders and team members, to identify opportunities and carry out necessary planning and procedural functions to implement operational changes to improve business processes.

Office Administration:

- Input and update Quickbooks with all receipts, costs and payments;
- Approve time inputs from project managers, coordinators and team members per project in Quickbooks;
- Organize and file receipts, bills, payments, cheques and order forms per project after they’ve been inputted into the system;
- Maintain up to date accounts for all expenses ensuring that all expenses are accounted for and allocated to the relevant project(s) for accurate billing and data analysis;
- Prepare and update financial reports and quotes;
- Reconcile accounts in preparation for quarter and year end accounting and tax filing including inputting and updating Quickbooks with all receipts, costs, payments and cheques issued;
- Issue cheques for respective trades and contractors per project scope and plan. Ensure vendor bills are accurate and accounts are paid within specific terms;
- Create and maintain a up-to-date project scope list which include price lists from a variety of subcontractors/trades;
- Assist with quotes as needed;
- Prepare and issue invoices and progress bills for clients and subcontractors/trades; and,
- Other duties as assigned.

Skills & Experience:

- 2-3 years of customer service, administrative or business office experience is required;
- Familiarity and understanding of Quickbooks considered an asset;
- Strong organizational, time management and administrative skills required;
- Excellent written and verbal communication skills required;
- Proficiency with MS Office systems such as Outlook, Excel and Word is required,Wsib reports, bonus if you are familiar with local 183 reports filling for the framing sector.
- Self-motivated, result-oriented team player who is a creative and collaborative problem solver.

**Job Types**: Full-time, Permanent

**Salary**: $20.00-$25.00 per hour

Schedule:
8 hour shift

Pay: $20.00-$25.00 per hour

Expected hours: 35 - 40 per week
