Program Assistant - HIA
Purpose
The Program Assistant (HIA) will report to the Program Supervisor. The role is responsible for providing administrative support for day-to-day operations which includes data entry, registration processing, and ongoing communication internally and externally on behalf of AdaptAbilities. They are integral to the success of the program by providing valuable support to families, Hearts in Action department, and ultimately furthering the organizational vision. The conscientious Program Assistant will act with integrity, be open to growth, live our purpose, cultivate teamwork, and put forth an extraordinary effort to empower people with diverse abilities and their families to grow, succeed, and belong.
Key Functions
- Process incoming registrations for the Hearts in Action Department
- Prepare summer camp supplies
- Provide administrative support to the Hearts in Action Team, including but not limited to data entry, documentation management, weekly reporting, and internal and external communication with parents/guardians or stakeholders
- Ability to work in a fast-paced environment, with flexibility managing competing departmental demands
- Communicate effectively with integrity to individuals, families and co-workers
- Perform other job-related activities, as required
**Qualifications**:
- Minimum education requirement of a High School Diploma and a minimum of 2-3 years of related experience; or graduation from an appropriate post-secondary program with a Certificate or Diploma from a College / Technical Institute. (Kinesiology, Recreation, Education, Human Services, Administration, and/or Related Discipline)
- May consider equivalent combination of education and experience.
- 2-3 years’ experience in related field, with one-year administrative experience
- Experience working with children, teens, and adults with disabilities is an asset
- Excellent written and verbal communication in English
- Strong organizational and problem-solving abilities
- Clear Police Information Check and Intervention Record Check
Working Conditions
This is a temporary full-time position from May 5, 2025, to August 29, 2025. Shifts are Monday to Friday 8:00am to 4:00pm. This position is funded through the Canada Summer Jobs Grant from the Government of Canada, which requires that the employee must be between 15 and 30 years of age and legally entitled to work in Canada. International students are not eligible.
Compensation: $21.56 to $22.82 depending on experience and education
