About the Role
The STEP Program Assistant supports the delivery of employment services for Temporary Foreign Workers, IMP participants, PGWP holders, and Refugee Claimants with lower English proficiency. This role provides administrative, coordination, and participant support to ensure smooth day-to-day program operations.
Working closely with Career Practitioners, Employment Placement Specialists, and Facilitators, the Program Assistant manages participant records, coordinates communications and schedules, supports data tracking, and assists with workshops, job fairs, and employer events. The role contributes to creating a safe, inclusive, and well-organized environment for equity-seeking participants.
Hybrid in this role refers to a combination of on-site service delivery and community-based work (e.g., employer visits, workshops, outreach, and client meetings). This is not a work-from-home position. Remote work occurs only occasionally, based on program needs.
About the STEP Program
STEP (Support through Training, Employment, and Pathways) provides targeted employment support for newcomers preparing to enter the Canadian labor market. The program focuses on early employment pathways, job-readiness skill building, and practical supports for participants with varying English levels.
STEP emphasizes inclusive, safe, and fair employment and supports participants in navigating early employment steps with confidence and dignity.
What You'll Do
- Provide administrative and coordination support to ensure smooth delivery of STEP programming.
- Maintain accurate participant records, shared folders, and program files.
- Prepare participant communications, forms, and workshop materials.
- Coordinate schedules for workshops, appointments, and employer sessions.
- Support the intake process by reviewing forms and assisting participants with initial steps.
- Enter participant data, attendance, and service notes with attention to detail.
- Support basic data cleanup and assist with summaries for reports.
- Greet participants in person and online, offering clear and supportive communication.
- Provide plain-language guidance for participants with lower English proficiency.
- Direct participants to appropriate staff and support smooth internal referrals.
- Assist with job fairs, hiring events, workshops, and employer activities.
- Support event logistics, registration, attendance tracking, and setup.
- Collaborate closely with Career Practitioners, Employment Placement Specialists, and the Language team.
- Participate in team meetings and provide cross-coverage for administrative tasks as needed.
- Apply organizational policies, confidentiality standards, and inclusive service practices consistently.

- Clear, patient communication, especially with individuals with lower English proficiency.
- Comfort supporting multiple tasks in a busy, team-based environment.

- Ability to manage data accurately and maintain confidentiality.
- Initiative, adaptability, and willingness to learn.
- Comfort communicating in English in a professional environment; additional languages are an asset.
What You Bring
We recognize that skills are developed through a mix of education, experience, and lived practice.
- Experience in administrative support, client service, or program coordination.
- Experience with data entry or working in databases or tracking systems.
- Experience working respectfully with diverse newcomer and equity-seeking communities.
- Ability to communicate using simple, accessible language.
- Commitment to inclusive, affirming, and culturally responsive service.
- A clear Police Information Check (PIC), required as a condition of employment.
Preferred / Asset Qualifications
- Post-secondary education or training in administration, human services, or a related field.
- Experience supporting Temporary Foreign Workers, refugee claimants, or similar populations.
- Multilingual ability (e.g., Ukrainian, Tagalog, Spanish, Arabic).
- Experience supporting workshops, job fairs, or employer events.
