**Job Type**: Part-time
Reports to: Rental Services Lead
Pay Rate: $17-20/hr for entry-level, early career, and current students
**How you will make an Impact**
The Botanical Garden is seeking a **Venue and Events Associate **to support the organization as a front-line team member. In this role you will be supporting internal and external clients who leverage the Garden’s venue for programming, meetings, and celebrations, delivering inspiring guest experiences at our 4-acre Garden and Visitor Centre. Core to your role is representing TBG to our clients, helping to strengthen the brand's impact and audience engagement. Through your positive and proactive client engagement and event management, you will support the Garden in being a dynamic community hub. Reporting to the Rental Services Lead, this part-time position.
**Responsibilities**:
- Assists Rental Services Lead with all aspects of supporting internal and external clients, from initial venue booking, pre-event logistics, day of event management and post-event wrap up—all while providing a safe and welcoming environment.
- Serves as an on-site venue representative and is present for the entirety of all assigned functions/rentals.
- Ensures that events run according to the event agenda, meeting the client’s expectations.
- Leads on-site sales tours with prospective and repeat clients.
- Meets with clients as needed, check-in clients for events, work with vendors and Botanical Garden team members to ensure events are successful from start to finish.
- Coordinates with Rental Services lead and Accounts Payable for vendor invoices and credits.
- Cultivates and maintains positive and professional client relationships.
- Ensures the safe and efficient oversight of assigned client’s events.
- Ensures all set ups for the events are correct.
- Checks and coordinates deliveries are being sent to the correct locations, including but not limited to flowers, liquor, dance floors, tables, chairs, food, and catering.
- Writes event wrap-up reports and documents all damage to the property.
- Regularly walks the Garden and keeps current with what is happening at the Garden to support a positive guest experience.
- Maintains a positive, proactive solution-orientated poise when responding to or serving clients, members, and visitors.
- Works collaboratively with internal and external stakeholders, including Facility Operations and contractors, along with education, development, horticulture, retail, marketing, and audience engagement.
**Experience and Job Requirements**
- Minimum of 2 years in private or corporate event coordination and event sales.
- Proven track record of guest experience in the event and hospitality field.
- Excellent written and verbal communication skills, with the ability to communicate effectively with a diverse range of audiences.
- Proactive self-starter who exhibits initiative and leadership.
- Strong project management skills, with the ability to manage multiple priorities and meet deadlines.
- Proficient in Microsoft Office Suite, Venue management systems, (EventPro experience, highly desirable).
- Passion for nature, environmental sustainability, and community engagement, a plus
- Experience or personal interest in cultural organizations such as museums, botanic gardens, arts or nature-centered institutions, a plus.
- Requires some support with set-up and clean-up of events and may include heavy lifting at times.
- Ability to lift 50 pounds
- Must be available to work flexible hours including nights, weekends, and statutory holidays, based on event schedule.
