Role Summary

The Property Administrator is responsible for assisting the Property team in overseeing the multi-faceted service protocol for all contracts, property management services and provided residential services. The Property Administrator may be required to conduct duties in support of the Maintenance and Property Services departments as well as provide support as a liaison with the commercial tenants and units.

**Responsibilities**:

- Effective high-level customer service focus through immediate response to homeowner and guest queries
- Assist in creating and maintaining shared facility/residential corporation procedures and ensure compliance
- Carry out inspections of all facilities under Property Management responsibility
- Place orders when necessary, as directed by the Property Manager
- Track expenses and assist in the control of all budgets of Property Management
- Manage relationships with contractors and service providers
- Conduct regular inspections of units, common areas, building exteriors, landscape, etc.
- Responsible for administrative tasks including the distribution of relevant documents to homeowners, the production of Status Certificates for unit sales and all Periodic Information Certificates as per the Condominium Act, production of meeting minutes and communications
- Document and maintain general logs and report on daily activities
- Assist in obtaining quotations and process invoices for all services
- Coordinate with other departments to respond to all homeowner requests
- Assist with the development of Standard Operating Procedures and updating the department training manual as required
- Provide answers to Homeowner questions and resolve concerns with their condo
- Welcome and acknowledge every Homeowner with a smile, eye contact and a friendly verbal
- Greet Homeowners using their names when possible
- Distribute all requests to the appropriate department in a timely manner
- Create and update contact lists, calendars, and homeowner database (Shiftsuite)
- Conduct orientations with new homeowners, including paperwork and tours
- Enter and maintain all Homeowner information in data management systems
- A contact for homeowner’s for day to day administration requests
- Compliance with all safety regulations of assigned tasks, and ensure a clean and safe working environment with active participation in the health and safety program
- Adhere to all environmental policies and programs as required
- Other duties as assigned

**Requirements**:

- Have and maintain a valid Ontario driver’s license
- Strong verbal and written communications skills
- Detail-oriented and works with a high degree of accuracy
- Ability to multi-task in a fast-paced environment
- Must possess excellent customer service skills

Working Conditions
- Must be able to work flexible hours including evenings, weekends, and holidays
- Required to move, lift, carry, pull, and place objects weighing less than or equal to 30 pounds without assistance
- Stand, sit, or walk for an extended period of time or for an entire shift
- Reach overhead and below the knees, including bending, twisting, and pulling
- Move over sloping, uneven, or slippery surfaces
- Significant exposure to varying weather conditions
- Will encounter obnoxious smell from wastewater, gasoline, and diesel fuels
- Will encounter hazardous materials, dangerous or toxic substances and chemicals
- May encounter excessive noise from engines and equipment
- Work area is located alongside deep water
