**About the role**:
Our administration team is made up of office managers, receptionists, executive and administrative assistants who work diligently to support our people and keep our offices running smoothly. Whether in-person or on the phone, our clients can count on this team to connect them with the people and resources they need to achieve and exceed their business goals.

**How you'll make a difference**:

- Provide daily reception coverage;
- Daily mail distribution and bank runs;
- Assist with client communication and correspondence (set up new clients in our database, send correspondence, answer and direct calls);
- Assist with client billings, invoicing and follow-up notifications for collections;
- Compile client financial packages and assist with the lock-down and electronic filing of files;
- Coordinate and collaborate with other staff and Partners to help complete the administrative requirements to get tasks completed;
- Additional responsibilities, including but not limited to: preparing documents, filing, scanning, organizing paperwork, meeting organization, assisting with projects and other administrative duties when necessary.

**Who you are**:

- 1-2 years of administrative experience, preferably in a professional services firm and/or completion of an office administrative certificate or equivalent.

**Required Knowledge, Skills and Abilities**:

- Detail oriented individual with superior organizational skills;
- Excellent English communication skills, both written and verbal;
- Self-motivated, results-oriented individual who demonstrates initiative and maturity under pressure;
- Exceptional interpersonal skills with a strong focus on client service and a high degree of professionalism;
- Ability to develop a positive rapport and convey concepts and services with clients;
- Ability to work in a confidential environment and handle sensitive information with complete discretion;
- Ability to prioritize and manage multiple tasks and deadlines;
- Ability to be flexible and available for overtime as needed;
- Proficient computer skills, including Microsoft Outlook, Word, Excel and Adobe Acrobat.

**Standard schedule for this position is Monday to Friday 9:00 AM - 5:00 PM, some overtime is required during the months of March and April for busy season.**
