We are currently looking for a motivated and organized Administrative and Accounting Assistant to join our team.

**Position Overview**

As an Administrative and Accounting Assistant, you will play a crucial role in supporting the efficient operation of our office, shop, and financial transactions. You will be responsible for a variety of administrative tasks, accounts receivable, accounts payable, and purchasing functions, ensuring the smooth operation of day-to-day activities.

**Key Responsibilities**

The position is administrative, providing support to the accounting, sales, and shop managers. Key responsibilities will include but aren’t limited to:

- Maintain organized and up-to-date filing systems, both electronic and physical.
- Generate and issue customer invoices accurately and timely.
- Review customer contracts and purchase orders for accuracy.
- Monitor accounts receivable aging and follow up on overdue payments.
- Investigate and resolve discrepancies or disputes with customers.
- Receive, verify, and process supplier/vendor invoices.
- Match invoices with purchase orders and receiving reports (3-way match).
- Assist in scheduling AP payments and ensure payments are made on time to avoid late fees.
- Maintain accurate vendor records and contact details.
- Prepare and distribute statements of account to customers as needed.
- Maintain proper documentation for audits and internal controls.
- Collaborate with sales and customer service teams to address customer/vendor inquiries.
- Coordinate with shop manager to understand their purchasing needs and specifications.
- Resolve and issued or discrepancies related to orders, deliveries, or invoices.
- Assist in the month-end and year-end closing process.
- Continuously assess and improve processes to enhance efficiency and cost effectiveness.

**Position is Best Suited for Individuals Who**:

- Has previous experience in administrative support and accounting roles.
- Is proficient in accounting software (Sage 300 ACCPAC), Microsoft Suite (Excel, Outlook, etc.)
- Has strong organizational and multitasking abilities with a keen attention to detail.
- Has excellent communication and interpersonal skills.
- Enjoys interacting with people and feels energized by conversations.
- Has the ability to prioritize tasks effectively in a fast-paced environment.
- Is a team player with a proactive and collaborative approach to work.
