**Required Qualifications**:

- Excellent communication (written/oral), interpersonal and customer service skills, both in person and over the phone
- Detail oriented, strong organizational/analytical, research and time management skills, as well as the ability to multi-task
- Advanced computer skills in MS Office (Word, Excel, Outlook) and Internet search engines
- Deadline driven and decisive (a quick thinker that can handle pressure and changing priorities)
- Related post-secondary education (University or College degree) is an asset

**Responsibilities include and are not limited to**:

- Importance of punctuality and maintaining a professional appearance at all times
- Collaborating effectively as a team player while also demonstrating the ability to work independently
- Providing administrative support across all departments, including responsibilities such as following up on invoices and payments from clients, preparing purchase orders for suppliers, and handling related tasks as required
- Managing incoming calls in a courteous and efficient manner, providing answers to basic questions and redirecting customers, suppliers and contractors appropriately
- Welcoming customers with courtesy and professionalism, ensuring a high level of service, and providing general support to visitors
- Maintaining appointment calendars, keeping management informed of daily schedules, booking meetings and conference calls with clients, liaising with clients and project managers to handle queries, and organizing project installations, as well as coordinating travel requirements when applicable
- Drafting and revising quotes based on provided information, and diligently following up with customers
- Maintaining filing system (purchase orders, invoices, quotes, customer files)
- Sorting and organizing all mail (post and courier) as required
- Ordering office supplies, as needed
- Ensuring cleanliness and organization in the Boardroom and Kitchen areas
- Performing other duties as assigned from time-to-time

Pay: From $42,000.00 per year

- Secondary School (preferred)

**Experience**:

- administrative assistant: 2 years (preferred)
