Since 2001 Epic Inspired has provided multidisciplinary design services and has become a leader in luxury real estate marketing utilizing the latest design technology ranging from interactive kiosks to traditional embossed printing and everything in between. Headquartered in Vancouver we are rapidly positioning our firm for growth.

We are currently looking for a detail-oriented Office Assistant/Bookkeeper to help with day-to-day operational activities. A successful individual in this role should have superior organizational and time management skills to ensure the efficient operation of our Downtown office. Reporting to the Principal, the Assistant will provide support in a variety of areas.

This role requires at least 5 years of past managerial level experience. We are a boutique agency working on big projects and our team works in a collaborative environment to create dynamic and innovative marketing, advertising & design solutions.

Duties
- Accounting: recording revenues and expenses, managing receivables and payables, handling deposits & running financial reports.
- Bookkeeping: ensure daily/weekly/monthly reports are kept organized.
- HR: manage company policy, keeping track of attendance / vacation and timesheet, maintaining employee benefits plans, coordinating staff events, assisting in recruitment and orientation, ensuing legal compliance.
- Present a professional, welcoming first contact to all clients, visitors, vendors and business partners.
- Maintain continuity of work operations and procedures by liaising, documenting and communicating appropriate actions to executive; identifying irregularities; determine needs while contributing to development & implementation of efficient office systems.
- Maintain common spaces for appearance and functionality and manage office supply levels as well as computer equipments and digital tools for a smooth operation in our creative studio.
- Liaise with Systems Administrator to ensure that operational standards are met and conformed.
- Manage various client and talent meeting sessions both onsite and offsite to properly equip and prepare meeting environments.
- Assistant: coordinating schedule and meetings, preparing and filing documents, playing host, proving support in online research, liaising with vendors / suppliers, performing other administrative duties.

Client/Vendor Account Administration
- Maintain accurate and up-to-date client data on CRM.
- Generate client reports as requested.
- Assist with meeting minutes, as needed.
- Assist finance with data entry, payment information enquiries, and filing.
- Manage and assist various A/R A/P related work through an automated company system.
- Assist project managers and project initiatives, as needed.

**Qualifications**:

- 5+ year (s) of relevant experience.
- 5+ Sage/Quickbooks or equivalent
- Working in a creative/marketing/advertising environment is an asset.

Knowledge, Skills & Proficiencies
- Exceptional organizational skills and ability to prioritize a busy workload.
- Excellent written and verbal communication skills.
- Excellent interpersonal and relationship management skills.
- Excellent proficiency with Mac OS and Microsoft Office suite (Word, Excel, Outlook), QBO or equal and project management software experience.
