Promotional Material Coordinator

**Summary of Purpose**:
Work with the marketing and sales teams to oversee the tactical execution of key marketing projects. The incumbent will support the whole Marketing team to develop and implement tactical sales tools, marketing material, advertisements, tradeshow booths, websites, and training materials. The coordinator will ensure execution of key processes related to promotional tools, development, brand planning, interaction with suppliers, and effectively manages costs while meeting the business objectives of the departments. This role will also be the backup for the Promotional Material Specialist role. **Responsibilities**:
- Effectively coordinate the development, design, approval, production, and distribution of marketing materials in partnership with internal partners
- Coordinate marketing communications projects
- Lead some marketing projects to support the Product Managers and Director
- Work in collaboration with ad agencies and define/communicate a clear process for tool review
- Partner with product marketing managers to gather project needs and specifications
- Coordinate activities around the design, copy, image, and content needs in the development of sales tools, collateral, advertisements, tradeshow booth graphics, events, websites, and other promotional activities
- Coordinate the adaptation and translation of marketing materials, collaborating with external translation agencies and relevant international marketing stakeholders.
- Support development of marketing and promotional materials for tradeshows, congresses and key opinion leader advisory meetings,
- Act as a brand steward, upholding brand and trademark standards and consistency in all projects
- Route materials for review and approval by regulatory and legal stakeholders in online document control system
- Work with print vendors to establish quotes, production schedules, and delivery of materials to distribution vendor partners
- Ensure department compliance with established standard policies and procedures
- Help set up and improve workflow processes when and where needed
- Manage external vendors and agency partners as needed
- Monitor and report project expenses and process invoices with accounts payable?
- Reporting Safety Information, Product Quality Complaint and Customer Feedback as per training on current procedures
- Performs other related duties as required
- Work closely with the Specialist of Promotional Material to ensure both CNS and NEPH are aligned with processes and best practice
**Qualifications and Key Competencies**:
- Bachelor’s degree in marketing, advertising, business management or related field
- 3-5 years of experience in marketing or related function at agency or internal marketing and communication department
- Healthcare industry experience preferred
- Experience in project management
- Excellent project management and organizational skills
- Excellent written and verbal communication skills
- Ability to prioritize and balance multiple projects simultaneously
- Comfortable with web-based project management tools (Veeva, Vault)
- Excellent knowledge of Microsoft office
- Results driven, proactive, collaborative & able to work autonomously
- Ability to work in a fast-paced environment (Digital)
- Problem solving attitude
- Flexible, change embracing in rapidly evolving work and market environment
- Ability to relate to and work with a wide variety of stakeholders
