**Job Overview**:
Mills Motors is looking for an organized, friendly, and dependable **Collision Centre Coordinator** to join our dynamic team. The Collision Centre Coordinator will be responsible for handling payments, processing invoices, providing excellent customer service, and supporting the collision centre team in administrative tasks. This role plays a crucial part in ensuring that customers have a smooth and efficient experience while their vehicles are being repaired.

**Key Responsibilities**:

- **Customer Service**:

- Greet customers in a friendly and professional manner.
- Answer customer questions related to billing, payment processes, and repairs in progress.
- Provide timely updates to customers regarding their vehicle’s service status.
- **Payment Processing**:

- Accurately process payments (credit cards, cash, checks) for collision centre services and parts.
- Issue receipts and maintain accurate records of all transactions.
- Assist with managing customer accounts, including payment arrangements, balances, and invoicing.
- **Invoice and Billing Management**:

- Review and prepare invoices for completed collision centre repairs, ensuring all charges are correctly applied.
- Work with the Collision Centre Manager to verify and reconcile parts and labour charges.
- File and maintain customer records, invoices, and related paperwork.
- **Administrative Support**:

- Assist the Collision Centre Manager with clerical tasks and scheduling.
- Maintain organized files of customer transactions, repair orders, and billing documentation.
- Ensure all required forms and documentation are completed and submitted accurately.
- **Communication & Coordination**:

- Collaborate with the collision centre technicians, service advisors, and management to ensure smooth operations.
- Communicate any payment or billing issues to the appropriate department or customer.
- Notify customers when their vehicles are ready for pickup and ensure a smooth checkout process.
- **Customer Satisfaction**:

- Handle any customer concerns or disputes professionally, aiming for a positive resolution.
- Provide a high level of customer satisfaction by ensuring accurate billing and timely service.

**Qualifications**:

- **Education & Experience**:

- High school diploma or equivalent required.
- Previous experience in a cashier or administrative role in a dealership, retail, or service industry is preferred.
- **Skills & Abilities**:

- Strong communication and interpersonal skills.
- Basic math skills for accurate payment processing and invoicing.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) or similar software.
- Ability to multitask and manage time efficiently in a fast-paced environment.
- Strong attention to detail and organizational skills.
- **Personal Characteristics**:

- Friendly, professional demeanor with a customer-first attitude.
- Ability to work well both independently and as part of a team.
- Strong problem-solving skills and ability to handle difficult situations calmly.

**Work Environment**:

- This position is based at the Mills Motors Buick GMC LTD's collision centre location.
- Work will primarily be performed indoors at the dealership, with occasional customer interaction in the parking lot or service bays.
- Must be comfortable working in an automotive service environment and interact with customers who may have varying levels of technical knowledge.
