**JOB SUMMARY**
**LOCATION**: Hybrid
**TYPE**:Permanent/Part-Time
**WORKING HOURS**: Monday to Friday | 30 Hours Weekly
**SALARY RANGE**:$24-$26 (based on experience)
**RESPONSIBILITIES**
- Set up new vendors and process vendor bills, including downloading, filing, encoding, and tracking bill approvals and payments.
- Maintain and update the vendor database to ensure accuracy and completeness.
- Prepare and record bank deposits accurately and on time.
- Receive, sort, and distribute incoming mail and correspondence.
- Perform general clerical and administrative tasks assigned.
- Provide support and backup for processing customer sales orders.
- Assist in accounts receivable functions, including billing, collections, and updating the customer database.
- Communicate effectively with customers and vendors to resolve inquiries.
- Enter financial and administrative data with accuracy and attention to detail.
- Be available to work onsite up to twice a week or as needed.
- Provide support to the Associate Director, Operations & Special Projects with administrative or process-related tasks as needed.
- Perform other related duties as assigned by the Manager, Finance and Business Processes
**QUALIFICATIONS**
- Completion of secondary school with coursework in administrative practices, bookkeeping, or accounting.
- Accounting diploma or certificate is preferred.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel); familiarity with cloud-based accounting software (NetSuite preferred).
- Experience in accounts payable and accounts receivable.
- Self-starter with a proactive attitude and the ability to anticipate accounting issues.
- Detail-oriented with strong multitasking and time management skills.
- Able to work independently and collaboratively within a team.
- Strong analytical and problem-solving skills.
- Exceptional attention to detail, including the ability to accurately track and analyze information while multitasking with competing demands.
- Comfortable working in a diverse, fast-paced environment, with the ability to easily shift priorities.
- Willingness to learn and adapt to new tools and processes, and best practices.
- Ability to work independently and as part of a team - virtually and in person.
**WORKING CONDITIONS**
- This is a hybrid position based out of the head office in Hamilton (**286 Sanford Ave North, Hamilton, ON L8L 6A1)**, with a combination of remote work and in-office presence as required.
- Regular working hours are followed, with occasional overtime during peak periods.
