Student Programs Coordinator

Working closely with the Chair, Ottawa Student Committee and Senior Manager, Talent Management and Operations, the successful incumbent will support the operational objectives of the summer and articling student programs in Ottawa and provide general administrative support to the Senior Manager.
**Major Responsibilities**
- Coordinates the administrative requirements of summer and articling student onboarding and orientation programs
- Coordinates the logistics of the summer & articling student rotation program with all relevant administrative departments
- Supports the student recruitment process using viRecruit, Administers performance evaluations for summer and articling students in the Ottawa office using viEval
- Coordinates the Law Society of Upper Canada Licensing Process requirements, registrations and filings
- Coordinates the student client-secondment program, maintains up-to-date summer and articling student personnel records, supports the student allocation and hireback process, and provides assistance with any other student related duties as required
- Monitoring of Student Programs mailbox and management of Student Program Calendar and responds to routine inquiries
- Maintain up to date checklists and protocols
- Supporting talent management with on and offboarding processes, and other duties as necessary
- Provides general administrative support and backup to Senior Managers, including: maintaining vacation scheduling and absence records for all support staff
- Assisting with maintenance, processes and documentation of current workflows/procedures within the Ottawa office
- Provides special event planning and project support as needed
- Performing other duties as assigned from time to time
**Position Requirements**:
**Education and Experience**
Certificate/diploma in from an office administration program plus relevant administrative experience in a professional services environment. Law firm experience is preferred but an equivalent combination of education, training and experience may be acceptable.

- Impeccable organizational skills, time management skills and ability to multi-task
- Indisputable team-player with sense of humour
- Self-starter who is proactive, takes initiative and works independently with mínimal supervision
- Excellent communication skills and customer-service attitude
- Positive, professional disposition and flexibility to handle regular interruptions and unexpected changes to work flow
- Demonstrates tact and respect for confidential material
- Proficient in MS Word, Excel, Outlook, PowerPoint, Sharepoint
- Embraces learning new software systems
