The Middlesex-London Health Unit has an exciting opportunity for a full-time Program Assistant to work on the Risk & Records Management team in the Corporate Services division at our Citi Plaza location in London, Ontario.
- Provide administrative support for the Risk & Records Management, HR, Operations, Finance, Communications & IT team.
- Provide administrative support and backup coverage for all other administrative roles within the Risk & Records Management, Communications, and HR teams.
- Schedules, organizes and takes minutes for meetings, projects, and other functions.
- Serve as the Software Administrator for the Policy Manager.
- Support the processing of access to information requests.
- Assist in planning conferences, booking meetings, and making travel arrangements.
- Run routine reports, prepare statistical reports, file documents, and perform other record-keeping.
- Interprets and implements filing, record keeping, document management, and clerical standards for the program and/or team and/or Manager.
- Participate as an active member of the team and contribute to team problem-solving of client and work-related issues. May represent the team and division on multi-service committees.
- Work cooperatively and collaborate with other administrative staff across the organization during peak workload periods or when required.
- Post information on the website and SharePoint pages.
- Perform other duties as assigned.
**Qualifications**:
- Post-secondary program in administrative studies of at least one year.
- Two years of previous related work experience.
- Knowledge and experience in Privacy, Risk and Records Management would be considered an asset.
- Demonstrated ability to enter data with a high level of accuracy and speed.
- Professional demeanor with proven customer service skills, a resourceful attitude, effective communication skills, and strong discretion to deal with sensitive and/or confidential information.
- Exceptional organization skills and the ability to balance multiple priorities/inquiries/requests to perform independently and effectively. Ability to work flexible hours.
- Skills and Knowledge to work with an increasingly diverse population, has knowledge of health & inequities.
- Communication proficiency (written and verbal) in French and/or any other languages is highly desirable.
The salary for this position ranges from $44,407.09 to $55,508.90 based on qualifications and experience.
