Assante Vancouver Centre branch is a premier wealth management firm located in downtown Vancouver.
With over 30 years in the industry, our branch offers our clients personalized and comprehensive planning experience. Handling the operations of the branch is our Corporate Services team who provide a range of business support to 11 advisory teams practicing within the branch.
Our Corporate Services Team is looking for a person who has “meticulous” attention and effort to join our Business and Operations department. This newly formed role is for a business-minded individual who wants to work in a great team, a professional environment, looking to grow their business experience, and ready to jump right into the list of amazing projects and responsibilities this job oversees.
The role of Business Coordinator will include a full scope of senior administrative support to our Business Operations Manager, executive assistance to the Board of Directors and Executive Management Committee and lead coordination on a majority of our events and projects. The role primarily has an internal focus and will not work with clients or require wealth management knowledge. We are looking for someone who wants to be a part of all the ins and outs of operating a highly successful business and knows no task is too small or too big. This will start as an entry level role with expected opportunity of career growth.
Roles and Responsibilities
- Executive support to the Business Operations Manager. _Current departments under management are HR, Governance, Finance and Operations_
- Executive support for the Board, Executive Management and other committees
- Meeting scheduling and coordination
- Assisting in the preparation of meetings including organizing agendas, notifications, compiling documents and preparing packages
- Designing and preparing presentations, spreadsheets, charts and forms as needed
- Minute taking
- Prepare post-meeting notes and send communications for actionable items o Filing and management of records, contracts and governance paperwork o Participates on assigned internal committees as appropriate
- Assist and coordination of office management tasks directed by the IT Operations Manager
- Coordinating office and company events from planning to implementation o Coordinating site visits with service vendors and contractors o Providing assistance and coordination on special projects
- Ordering and maintenance of furniture, supplies, equipment etc.
- General administrative duties
- Composes, reviews, and follows through on internal and external communications
- Maintaining and updating internal documents and manuals
Qualifications:
- Strong administrative skills, accuracy and attention to detail
- Highly organized with the ability to multi-task among several projects concurrently
- Very strong interpersonal skills and the ability to build relationships
- Expert level written and verbal communication skills
- Demonstrated proactive approaches to problem-solving with strong decision-making capability
- Highly resourceful team-player, with the ability to also be extremely effective independently
- Proven ability to handle confidential information with discretion
- Strong client service focus
**Education**:
- Post-Secondary education or equivalent combination of education and experience;
