Overview:
Be the central communication point for the Regional Director and the Sales Team. Support Sales management team with reporting, administrative and monitoring support in order to develop and nurture an “information rich” environment lending itself to the successful accomplishment of the team’s objectives. Oversee and organize the Montreal head office including POS warehouse.

**Responsibilities**:
**Sales Coordination**:

- Work closely with Sales Management on following requests: samples, images, new product information sheets, etc.
- Support the sales team with weekly reports and updates (listings, inventory etc).
- Organize and oversee logistics of supplier market visits.
- Organize and oversee participation in different wine & spirits shows and other events.
- Prepare and submit monthly price lists and maintain the current products/pricing/information
- Provide ad hoc reporting for sales teams
- Support regional meetings data collection and presentation preparation.
- Coordinate bi-yearly Sales Conferences including booking and scheduling, accommodation, travel, catering, set-up and content
- Project manage regional industry tasting and consumer sampling events liaising with suppliers, vendors and Sales Team
- Provide administrative support to as needed to sales team
- Other duties as assigned

**Office Management**:

- Oversee and co-ordinate office administrative procedures and review, evaluate and implement new procedures
- Manage and process all office and sales invoicing, vendor setup, liaison and documentation
- Act as HR department liaison in the office, assist with new hire orientation and onboarding/exit paperwork.
- Organize and schedule meetings and appointments
- Coordinate with IT with regards to office equipment and troubleshooting
- Manage relationship with vendors, service providers and property management
- Maintain office and team records and files
- Assist with travel, accommodation bookings and itinerary for Executive and Supplier Team visits
- Implement procedural and policy changes to improve operational efficiency
- Monitor and maintain office and warehouse supplies inventory
- Manage Vacation for the East region and liaise with head office
- Provide executive assistance as required by VP Sales Execution

**Warehouse / Receiving**
- Receive all deliveries including small and large to reception and warehouse
- Communicate all deliveries to Sales and Management Teams
- Coordinate yearly warehouse tidy and clear out
- Ad hoc organization and tidying of warehouse sections to facilitate deliveries
- Liaise with freight and courier companies regarding incoming and outgoing deliveries and tracking

Qualifications:
**Required Skills/Experience**:

- Post-Secondary Education
- Excellent MS Office skills
- Excellent communication skills (Verbal and Written)
- Excellent organizational skills
- Sound judgment and problem solving skills
- Excellent analytical skills
- Attention to detail and ability to multi-task
- Strong interpersonal skills
- Industry knowledge and knowledge of Liquor Board Regulations desired

**Physical Demands of Job**:

- Frequent hand motion to perform various duties
- Occasional lifting and carrying up to 45 lbs.
- Occasional immediate reaching, mínimal overhead reaching to perform various duties
- Occasional standing and occasional walking for short amounts of time to perform various duties
- Extended sitting for long periods of time at desk or workstation
