**JOB DESCRIPTION - ADMINISTRATIVE ASSISTANT**_**I**_**BOOKKEEPER**

**QUALIFICATIONS**
- Have a minimum of three years experience working in the bookkeeping/clerical field.
- Demonstrates the ability to type a minimum of 40 words per minute.
- Possesses good organizational and administrative skills.
- General familiarity with word processing equipment.
- Maintains a friendly and courteous manner.
- Has the ability to communicate effectively
- Enjoys working with people, especially seniors
- Have an understanding of and be in agreement with the philosophy of Emmanuel Lutheran Manor.
- Be flexible and open to a variety of work.

**DUTIES AND RESPONSIBILITIES**:

- This position involves a wide variety of tasks, from clerical and bookkeeping to resident programs.
- Must work together with other staff members to provide a healthy environment where residents can live comfortably and with dignity.
- Answer the telephone, forward calls, and handle general inquiries as required
- Maintains records of resident vacations, hospital visits, and incident reports.
- Maintain office supplies.
- Mail and parcel distribution to residents as required.
- Maintain postdated cheque file and a record of outside contractor visits.
- Maintain the key system and issue keys to maintenance staff and contractors as required.
- Issue service/maintenance work orders from residents to maintenance staff as required.
- Post cash receipts to journal and issue receipts.
- Complete the monthly list of all rents received.
- Deposit monthly rental cheques and other income as received.
- Advise the administrator of any non-payment.
- Match supplier invoices, purchase orders, receiving slips, maintenance work orders, and/or documentation where applicable.
- Note terms of payment and take discounts where applicable.
- Prepare cheques and allocate expenditures to the appropriate expense. Ensure proper
- authorization is received and noted.
- Maintain accounts paid or filed by supplier/contractor.
- Maintain bank reconciliation of all accounts.
- Operate general journal and general ledger.
- Monthly, take out the trial balance and prepare a financial statement, listing all receipts, disbursements, total assets, and liabilities.
- Assist with planning and coordinating meal preparation for seniors’ events.
