- Our Burnaby team is looking for a Project Assistant to support our Commercial Sales Department This role will work closely with our Commercial Team to input and monitor data for our projects; as well as ensure customer satisfaction by providing updates and respond to inquiries. Additionally, the Project Assistant will collaborate with our Sales Coordinator to assist with ongoing branch projects, making this role an essential part of our team's operations._
- **Key Responsibilities**:_
- Maintain a centralized system to manage project information
- Track quotations and monitor project status; as well as add new projects and contractors accurately and in a timely manner
- Address customer inquiries as instructed by the Sales Coordinator and Sales Manager
- Collaborate with suppliers, warehouse staff, and Commercial Project Managers to ensure on-time delivery of HVAC products
- Follow up with suppliers on warranty issues from our customers, ensuring timely resolution
- Monitor project posting sites to avoid missing out on bidding opportunities
- Ensure proper filing of work by the Commercial Team into internal trackers, following SOPs
- Collaborate with Branch Offices involved in Commercial Projects to ensure effective communication and coordination throughout the project lifecycle
- Other duties as deemed necessary by Management
**Required skills & Experience**:
- Degree or diploma in Mechanical, Business Administration, Project Management, or an equivalent combination of education, training, and experience
- Preferably with 1-2 years of recent experience in HVAC or related industry
- Excellent communication skills; high energy, enthusiastic with proven people skills and ability to work as part of a team and independently
- Proficient in MS Office and skilled in using task tracking software to manage multiple priorities
- Willingness to attend educational seminars and courses to supplement existing knowledge and stay up-to-date with evolving technology and business practices
- Quick learner with the ability to adapt to new software packages and tools as required by the role
