**The Opportunity**:
Terra’s Project Administrative Assistant is organized, detail-orientated, has construction knowledge, and has excellent communication skills. Terra’s ideal Project Administrative Assistant has a willingness to work in the office implementing and executing an organizational system for paperwork, tickets, invoices, and project filings. Terra’s Project Administrative Assistant is competent, helpful, reliable, and a team player. If selected to join us, you would be reporting to Terra’s Project Managers in the bulk and civil departments.
**A day in the life of a Project Administrative Assistant - roles and responsibilities**:
- Carries out a wide array of administrative tasks on various projects under the direction of the Project Managers
- Manages digital and hard copy filing for projects
- Creates, updates and revises company’s digital files for future project opportunities and follows up with clients for further documentation when necessary
- Creates, updates, revises information on Terra’s online-based construction software, HeavyJob (HCSS)
- Follows up with clients for missing document and submits RFI’s
- Gathers quotations for trucking, material, vendor, subcontractor, supplier costs for projects and continually assesses market unit rates
- Assists with verifying invoices
- Traffic Management Plans / BC 1 Call / project startup tasks
- Compiling and submitting Change Documents / Extra Work Order packages, tracking outstanding Change Orders / Change Documents /Extra Work Orders
- Sets-up, coordinates and records internal meetings between Superintendents, Project Managers, Estimators, Vice President and Executives
- Excel data entry
- Other tasks and duties as and when required
**Qualifications - what you bring to the organization**:
- You have previous administrative experience
- You have above-average knowledge of the construction industry and/or come with a construction background
- You have excellent organizational skills
- You have above-average computer skills and are comfortable using Microsoft Office and constructions software
- You are committed to being reliable and dedicated
- You are a team player

**Salary**: $40,000.00-$45,000.00 per year
