**OVERVIEW**
Reporting to the Manager, Human Resources and as part of the HRIS implementation project team, the Human Resources (HR) Analyst, Benefits will support the implementation of a new HR and Payroll system. The HR Analyst, Benefits will provide support through each phase of our HR systems implementation project, by leveraging their expertise in the administration of the day-to-day operations as it relates to HRIS administration, benefits, pensions, and absences.
This position plays a key role in the configuration, testing, and implementation of the Benefits module in the new HRIS, supporting accurate data, efficient processes, thorough documentation and testing, knowledge transfer activities and a positive employee experience related to benefits. The HR Analyst will be a key point of contact for HR staff, Payroll, Occupational Health, Safety and Wellness (OHSW) and IT teams, benefit vendors, employees, and other stakeholders regarding benefits-related inquiries and issues on the HRIS project. The HR Analyst will have excellent interpersonal, problem-solving, and conflict resolution skills, and the ability to work effectively both as part of a team and with limited direction.
**PRIMARY RESPONSIBILITIES**
The HR Analyst will play an integral role on the HR project implementation team of a new Human Resource Information System. Key requirements of the position include:
- Based on HR program planning and design, facilitate discussion around benefits workflow within HR team to determine how to maximize efficiencies, reduce wasted time and effort, and align work in various
benefits-related processes.
- Coordinate and participate in requirements documentation and related meetings to gain an understanding of how the work is currently being done with various stakeholders.
- Configure Workday’s Benefits module based on the Hospital’s requirements, ensuring accurate data, system integrity, and compliance with hospital policies, collective agreements, and regulations.
- Create or revise test scenarios related to people services transactions/ changes in the HR systems.
- Test the HRIS solution as part of the testing cycles and support reconciliation testing and documentation, following up and problem solving with team members as required.
- Assist with the development of system integrations related to the Benefits module, working closely with HR, Payroll, OSHW and IT departments, and benefit vendors.
- Identify areas for improvement within the Benefits module and related processes, proposing and implementing solutions to enhance efficiency and effectiveness.
- Suggest solutions and identify opportunities for continuous improvement and for HR technology to reduce manual work, based on questions and feedback from project team, HR department, key stakeholders, and employees.
- Identify changes impacting people, process or technology and partner with the project team to develop change management plans and strategies as appropriate.
- Generate reports and analyze data related to benefits enrollment, utilization, and costs, providing insights for decision-making.
- Support data integrity and data cleansing by administering and evaluating standard, audit, and
exception reports
- Monitor data quality and implement system improvements to enhance end-user experience and better data accuracy.
- Create and maintain documentation related to system configuration, data entry procedures, data management protocols, and cross-functional processes.
- Troubleshoot and resolve technical issues or data errors related to the Benefits module, working with IT and vendors as required
- Work collaboratively with IT specialists to support the development of new functionalities, including participating in functional and regression testing for system fixes, upgrades, patches, Workday releases and new features.
- Support content development for training and communication
- Deliver HRIS system training to users as part of the deployment process
- Research and regularly review HR technology best practices and identify opportunities to streamline processes through system enhancements.
- Serve as back up support for HR Advisors, responding to employee inquiries and assisting with general administrative duties for HR Systems and Administration team.
**EDUCATION**
- Undergraduate degree in Human Resources Management or related discipline or equivalent
**QUALIFICATIONS**
- A minimum of three (3) years’ experience working in Human Resources required, preferably within a healthcare environment.
- Previous administrative, benefit, pension and data entry experience preferred
- Excellent computer and analytical skillsand experience using MS products (Excel, Word, Teams, Outlook), and cloud-based human resource information systems (such as Workday), and/or benefit and pension administration systems
- Understanding of payroll, time tracking and/or absence management systems and their requirements is an asset.
