JANA’s Administrative Assistant is responsible for supporting an assigned group of Executives. An energetic personality who is comfortable wearing many hats and unafraid of new challenges, the Administrative Assistant reports to the Chief Operating Officer.

**Responsibilities**:

- Provides administrative support to assigned Executives with mínimal direction or supervision
- Executive calendar & schedule management, ensuring effective prioritization and preparation
- Executes consistent and precise follow-up by ensuring issues are resolved and projects completed in a timely manner
- Support some recruitment activities, as needed
- Understands priorities and can support the management of correspondence & communications and execute independently as required
- Expense management, reconciliations and reporting
- Supports the coordination & facilitation of presentations, meetings, etc. including the preparation of presentation materials
- Maintains the absolute highest levels of confidentiality and integrity
- Demonstrates a high level of initiative and independent performance
- Informs Executives of important information, decisions and deadlines necessary for day-to-day operations, making recommendations for action as appropriate
- Produces excellent work product without typographical or grammatical errors
- Completes special projects and other duties as assigned
- Provides backup support to other departments as assigned

**Qualifications**:

- Undergraduate degree in Business, Administration, or equivalent
- 3+ years experience working as a management-level assistant
- Proven ability to work in a fast paced and deadline-driven environment
- Meticulous, self-motivated, able to work independently as well as part of a team
- Exceptional written and verbal communication skills
- Demonstrated professionalism in dealing with sensitive and confidential issues and individuals at all levels of the corporation
- Excellent MS Office skills - MS Word, Outlook, PowerPoint & Excel
- Out of the box thinker with good judgment and decision-making abilities
- Strong organizational and planning skills with ability to multi-task and handle changing/ competing priorities
- Positive attitude and sets high standards for themselves and their work
- Thrives on ensuring attention to detail and accuracy in everything they do
