**Job Title: Office Administrator/ Executive Assistant**
**Reports To**: VP, People and Culture

**About the Role**

We’re looking for a highly organized, proactive, and detail-oriented **Office Administrator/ Executive Assistant**
to support our Executive Team and ensure smooth day-to-day operations of our office. Reporting directly to the VP, People and Culture, you will play a critical role in maintaining executive efficiency, enhancing employee experience, and managing a professional and welcoming workplace environment.

**Key Responsibilities**

**Executive Support**
- Provide high-level administrative support to the Executive Team, including calendar and meeting management, travel coordination, and expense reporting.
- Prepare presentations, agendas, meeting minutes, and follow-up documentation for executive and board-level meetings.
- Track key deliverables and action items across leadership functions to ensure timely follow-through.
- Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and discretion at all times.

**Talent & Culture Support**
- Assist with planning and executing employee engagement, culture, and talent development initiatives.
- Coordinate onboarding activities for new hires and support internal communications and employee events.
- Support HR documentation, scheduling, and project tracking.
- Help foster a positive and inclusive workplace culture through employee experience initiatives.
- Build and maintain the company intranet, ensuring content is current, user-friendly, and aligned with internal communication goals.
- Support company-wide communications, including drafting and distributing announcements, newsletters, and updates.

**Office Management**
- Manage daily office operations, including vendor relationships, facilities coordination, and space planning.
- Ensure the office environment is clean, organized, and aligned with company values.
- Coordinate logistics for meetings, training sessions, and company events, both onsite and offsite.
- Serve as the primary contact for building management and service providers.
- Handle incoming/outgoing mail and manage office supply inventory and ordering.

- Exceptional organizational and multitasking skills with a strong attention to detail.
- High level of professionalism, discretion, and interpersonal communication.

- Proficiency in Microsoft Office Suite, Google Workspace, and calendar/meeting tools.

Relevant directement de la Vice-présidente des personnes et de la culture, vous jouerez un rôle essentiel dans le soutien à l’équipe de direction, l’amélioration de l’expérience employé et la gestion efficace des opérations quotidiennes du bureau.

**Responsabilités principales**

**Soutien à la direction**
- Fournir un soutien administratif de haut niveau à l’équipe de direction : gestion d’agendas, coordination de réunions, organisation de déplacements, et traitement des notes de frais.
- Préparer les présentations, ordres du jour, procès-verbaux et documents de suivi pour les réunions de direction et du conseil d’administration.
- Assurer le suivi des éléments d’action et des livrables clés entre les différentes fonctions de direction.
- Agir en tant qu’intermédiaire entre les cadres et les parties prenantes internes et externes, avec discrétion et professionnalisme.

**Soutien à l’équipe Talents et Culture**
- Contribuer à la planification et à la mise en œuvre des initiatives d’engagement, de culture d’entreprise et de développement des talents.
- Coordonner les activités d’intégration des nouveaux employés et soutenir la communication interne et les événements d’équipe.
- Apporter un soutien administratif pour la documentation RH, la planification et le suivi de projets.
- Favoriser une culture de travail positive, inclusive et motivante.
- Gérer et mettre à jour l’intranet de l’entreprise pour assurer une communication claire, cohérente et accessible.
- Rédiger et diffuser les communications internes, telles que les annonces, bulletins d’information et mises à jour générales.

**Gestion du bureau**
- Assurer la gestion quotidienne du bureau : relations avec les fournisseurs, coordination des installations, aménagement des espaces.
- Maintenir un environnement de travail propre, accueillant et aligné avec les valeurs de l’entreprise.
- Organiser la logistique des réunions, formations et événements internes ou externes.
- Être le point de contact principal pour la gestion de l’immeuble et les prestataires de services.
