We’re growing and looking for a **Bilingual Receptionist** to join our Member Administration Team at the National Payroll Institute This is a **full-time permanent** position based in downtown Toronto
This position is the Institute’s front-line contact responsible for responding, directing and distributing all incoming inquiries and information (written, verbal or in person). In addition, this role is responsible for coordinating member administration and assisting staff as required.

**Key Responsibilities**:
**Covering reception: (60%)**
- Greet, assist and direct visitors.
- Receive, respond to and direct incoming calls.
- Coordinate the reservation of meeting rooms.
- Maintain a professional reception area; including dissemination of the Institute information materials.
**Mail, Fax, Courier, Other Information: (25%)**
- Sort, open and distribute incoming mail and coordinate outgoing mail.
- Sort, collate and distribute incoming faxes.
- Coordinate coding and authorization of invoices requiring multiple signatures (i.e., courier, phone, etc.).
- Arrange regular mailings to remote employees.
- Coordinate long distance codes, conference calls and accounts, access cards, etc.
- Assist with faxing, photocopying and preparing outgoing mail and courier packages.
**Administrative Services: (10%)**
- Order office and other supplies and maintain adequate inventory levels ensuring good quality and competitive prices (including coordinating shedding company).
- Liaise with Building management and other suppliers and service providers.
- Code shared services invoices and respond to all suppliers’/service providers’ inquiries.
- Facilitate inter-office communication including updating directory list.
**Other: (5%)**
- Participate in coverage for performance gaps when circumstances arise.
**Qualifications**:
- Post-secondary education preferred
- University degree or College diploma (or working towards).
- Fluently bilingual is required, English and French, both written and spoken.
- 1+ year office experience; experience in reception duties is preferred.
