Blackbridge Systems is seeking a diligent and organized Hybrid Freelance Remote Administrative Assistant to join our team. This part-time position is crucial to maintaining the smooth operation of our high-end home automation projects. As an Administrative Assistant, you will be responsible for scheduling, processing invoices, time sheets, material tracking, bookkeeping, and general administrative tasks. You will report daily and be responsible for knowing who is working, when, and where.

**Key Responsibilities**:

- **Scheduling**:Coordinate and manage schedules for the team, ensuring efficient use of time and resources.
- **Invoice Processing**:Handle the processing of invoices, ensuring accuracy and timely payment.
- **Time Sheets**:Collect, review, and process time sheets for all employees, ensuring correct logging of work hours.
- **Material Tracking**:Track and manage inventory of materials, ensuring that all necessary items are available for ongoing and upcoming projects.
- **Bookkeeping**:Assist with basic bookkeeping tasks, including maintaining accurate financial records and assisting with budget management.
- **General Administrative Work**:Perform a variety of administrative tasks to support the team, including data entry, document preparation, and correspondence.
- **Daily Reporting**:Provide daily reports on team activities, project statuses, and any other relevant information.
- **Workforce Coordination**:Maintain up-to-date records of employee work schedules and locations, ensuring clear communication and coordination.

**Qualifications**:

- Proven experience as an administrative assistant or in a similar role.
- Strong organizational skills with excellent attention to detail.
- Proficiency in Google G-Suite (Docs, Sheets, Gmail).
- Familiarity with bookkeeping and basic accounting principles.
- Excellent communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Reliable, self-motivated, and able to work independently.
- Experience in the home automation or related industry is a plus.
- Familiarity with project management tools such as Clickup

**Work Schedule**:
Part-time position, Available during our office hours on-call Monday to Friday, 8:00 AM - 4:00 PM.

- Virtual Assistant: 1 year (required)
- Administrative experience: 1 year (required)
