**Overview**
The Maintenance Coordinator/Property Administrator holds a crucial role in facilitating the smooth operation of residential properties. With a focus on coordinating all maintenance and administrative functions, this position involves tasks such as rent collection, general property administrative functions as well as the coordination all maintenance requests, month end processes and suite turnovers, follow up with residents to ensure satisfaction. The Maintenance Coordinator/Property Administrator ensures adherence to property management policies and regulatory requirements while also cultivating positive relations with residents. Collaborative work with Property and Assistant Managers, Maintenance and Custodian staff is key to maintaining high standards in Property Management. Ultimately, the Maintenance Coordinator/Property Administrator contributes significantly to the overall effectiveness and success of property operations. This role is designed to provide opportunities for growth, advancement, and leadership in a fast-paced environment.

**Primary Responsibilities**:

- Follow up with residents at appropriate times and responds to resident concerns.
- Assist Maintenance Team in prioritizing preventative maintenance work orders and schedule work with Building Operators and Maintenance Technicians.
- Issues, distributes and follows up on all maintenance requests.
- Schedule all maintenance request appointments for Maintenance Team and coordinate dates and times with Maintenance staff and residents.
- Issue 24 hour notice to enter for any maintenance concerns
- Document after hour emergencies and follow up with the resident and on call personnel to ensure completion or if additional work is required
- Issue PO’s to vendors as required on behalf Maintenance
- Communicate with Leasing Office and Maintenance Team regarding service policies or information that may be required.
- Provide administrative support with various tasks for Maintenance Technicians
- Attend all Pre-Move Out Inspections with Leasing and Maintenance Team Members and complete pre-move out inspection reports
- Enter all re-occurring PO’s and Work Orders into Yardi/Elevate and help set up preventative maintenance for HVAC system in Yardi/Elevate
- Supervise, schedule and co-ordinate with Leasing, Maintenance and Custodian teams and oversee the preparation of units for new tenants, coordinating maintenance and cleanliness for re-rental, including guest suites
- Maintaining positive professional relationships with residents of the properties.
- Maintain positive professional relationships with all vendors and co-workers
- Supporting the Property and Assistant Manager with all duties as they relate to the management of the property portfolio.
- Participating in the Health & Safety meeting and procedures within the office.
- Upon receiving notices to vacate, update in Yardi and put tenants on NTV
- Issue move out packages to all tenants on NTV each month
- Maintain all elevator bookings for move in and move out inspections
- Follow up with NTV and all new tenants with move in and move out dates (10th -20th of each month)
- Provide full administration support to property management, including, but not limited to the preparation of letters, notices and related documents
- Maintain an up -to
- date contact list for all properties of tenant information and forward to Security and Maintenance by the 3rd of each month
- Any Additional duties assigned by Property Manager.

**Qualifications**:

- A High School Diploma or Equivalent;
- Excellent communication skills to effectively interact with residents and co-workers
- Strong knowledge of the Residential Tenancy Act of Alberta would be an asset
- Strong organizational skills to manage multiple properties simultaneously and ensure all tasks are completed on time
- Yardi Voyageur, Maintenance IQ and Elevate knowledge would be an asset
- Problem-solving abilities to address any issues that may arise during property operations
- Detail-oriented and able to maintain accurate records of property maintenance, inspections
- Customer-focused mindset to provide exceptional service to residents and address their concerns promptly and professionally
- Proficient in using property management software and other computer programs for scheduling, reporting, and data analysis
- Collaborative attitude and ability to work well as part of a team, supporting colleagues and contributing to the overall success of the company
- Previous Property Management experience of 1-2 years in an
- Administrative role or Maintenance Coordinator role would be preferred
- Vehicle required to travel between properties
- Ability to work weekends if needed due to month end.

Pay: $55,000.00-$60,000.00 per year
